Job Description
The Reactive Planner plays a key role in ensuring reactive and planned maintenance calls are processed from start to finish. Working closely with internal teams, subcontractors, and clients, you will manage work orders, raise purchase orders, coordinate attendance, and maintain accurate system records. You will also support reporting, compliance documentation, and customer communication while adhering to company processes, health and safety requirements, and service level agreements.
Key Responsibilities
1. Coordinate reactive and PMC tasks received from internal teams and customers
2. Receive, progress, and update work orders through the CAFM system
3. Raise purchase orders and manage the approval process for subcontracted work
4. Arrange quotations, scheduling, and site attendance with subcontractors
5. Manage task queues, including prioritisation and triage of works
6. Monitor completion, documentation, and compliance uploads
7. Liaise daily with engineering teams on workload and availability
8. Complete goods receipt processes and support financial accuracy
9. Prepare and circulate reports as required
Professional and Personal Competencies/Qualifications
10. Experience in a customer service, contact centre, or administrative environment
11. Confidence handling calls, emails, and customer enquiries
12. Strong organisation skills with the ability to plan and prioritise tasks
13. Clear communication skills, both written and verbal
14. Ability to work collaboratively within a team environment
15. Competence using Microsoft Office applications
16. Attention to detail when managing data, systems, and documentation
17. GCSE-level education or an equivalent relevant qualification
