About the Role
Capstone Financial is seeking a professional and personable Receptionist / Client Servicing Administrator to join our Operations Team in Altrincham.
This is a key role within the business, supporting both our advisers and clients. You will be responsible for ensuring client reviews are scheduled and processed efficiently, maintaining a high level of accuracy and delivering an exceptional client experience at every touchpoint.
Key Responsibilities
* Acting as the first point of contact for clients, managing reception duties including answering and directing calls
* Coordinating meeting room bookings and ensuring rooms are prepared to a high standard
* Running reports via our back-office system to identify clients due for financial reviews
* Supporting advisers by providing reports and booking client review meetings
* Contacting clients to arrange review meetings (face‑to‑face or virtual)
* Logging all client interactions and maintaining accurate records within the system
* Following up with clients where contact has not been successful, including written communication in line with company processes
* Preparing client review packs for meetings
* Managing client engagement activities, including birthday communications and gifts
* Maintaining a professional and welcoming office environment
* Supporting general administrative tasks, including stock management of office supplies
* Delivering exceptional customer service both in person and over the phone
Skills & Experience
* Proficient in Microsoft Office (Outlook, Word, Excel, Teams)
* Strong communication and organisational skills
* Confident and professional telephone manner
* High attention to detail and accuracy
* Ability to manage multiple tasks and prioritise effectively
* Proactive, flexible, and team-oriented approach
* High level of integrity and respect for confidentiality
