About the Role
We are looking for a highly organised and proactive Scheduling Assistant to join our operations team. This role is critical to ensuring smooth day-to-day running of our service delivery by supporting the allocation and coordination of jobs across our national engineer network. You will work closely with the scheduling team, engineers, and clients to ensure jobs are managed efficiently, on time, and to the highest standard.
Key Responsibilities
* Assist in the allocation of jobs to engineers based on location, skills, and availability.
* Monitor live jobs, ensuring response times and KPIs are met.
* Liaise with engineers to confirm attendance, provide updates, and resolve scheduling conflicts.
* Handle inbound calls/emails from clients relating to job bookings, updates, and queries.
* Input and maintain accurate records in the scheduling/job management system.
* Track progress of emergency and priority jobs, escalating when needed.
* Support in producing daily/weekly scheduling reports for management.
* Provide excellent customer service to both clients and engineers.
* Assist with out-of-hours and weekend scheduling support where required (rota based).
Skills & Experience Required
* Strong organisational skills with excellent attention to detail.
* Ability to work in a fast-paced environment and handle multiple priorities.
* Confident communicator with good telephone and email manner.
* IT literate – comfortable using scheduling systems, CRMs, and MS Office.
* Previous experience in scheduling, dispatch, customer service, or administration (desirable but not essential).
* Problem-solving mindset – able to think on your feet and make quick decisions.
* Reliable, adaptable, and team-oriented.
