Job Purpose
The purpose of the job is to fulfil the role of administrator and supervision of office staff within the Practice and along with Management and GP Partners develop a learning culture within the Reception/Administration team ensuring the maximisation of available technologies and continual personal development.
Accountable to: The Practice Manager and CIC Directors
Working with the Practice Manager and Assistant Practice Manager
Key Responsibilities
1.0 Day to Day Supervision of Administrative Team
1.1 Provide support and advice to the administrative team
1.2 Ensure compliance with rotas
1.3 Ensure adequate resources are placed where most needed
2.0 Absence Administration
2.1 Annual Leave – managing requests, recording, calculation of entitlement, monitoring using Bright HR.
2.2 Sickness – ensuring accurate records of sick leave, monitoring and supporting management in implementing a sickness management system. Back to work interviews
2.3 Other leave – e.g. carers leave, compassionate leave, study leave, maternity, paternity, unpaid etc. – Recording, monitoring and ensuring compliance with policy.
3.0 Staff Appraisal/Performance Review
3.1 Ensuring staff with Management have 3 and 6 monthly probationary review and annual appraisal
3.2 Supporting (with Management) the organisation and facilitation of Staff Appraisal/Performance Review
4.0 Recruitment & Selection
4.1 Assisting management in recruitment and selection
4.2 Adhering to all policies and procedures in this regard
4.3 Ensuring compliance with HR law
5.0 Staff Contracts
5.1 Support management in producing, updating and uploading to Bright HR staff contracts
5.2 Ensuring contract templates are updating regularly according to CIC HR advice
6.0 Staff Training & Development
6.1 Support staff in induction
6.2 Support management in developing a basic training manual for new recruits
6.3 Support management in developing training needs analysis
6.4 Ensure staff have adequate protected time to complete training
7.0 Lifecycle of Employment
7.1 Support staff from induction, probation, development in post
7.2 Meet with staff who are resigning/retiring
7.3 Ensure leavers have protected time to train and handover to new staff
8.0 Maximisation of available technologies
8.1 Along with management support the maximisation of available technologies to support efficient working and meet quality standards.
8.2 Ensure all staff are trained, regularly utilise and comply with personal development.
9.0 Support management team with clinical scheduling and rota management
10.0 Support management team with maximising income and monthly claims.
It is important that all members of staff are prepared to take on additional duties or relinquish existing duties in order to maintain efficient running of the practice. The Practice Manager reserves the right to redistribute duties and functions amongst members of staff from time to time and requests that such changes shall not be unreasonably refused.
Opportunities for further training will be encouraged. All staff are expected to attend In-house training sessions and staff meetings, when provided, regularly.

Pay: £26,500.00-£26,526.00 per year
