The Human Resource Information System (HRIS) Officer will play a key role in supporting the People Team and wider HR department by leading the administration of sickness monitoring and recording, ensuring HR systems are accurately updated in line with College policies. They will draft correspondence relating to contract changes, resignations and family leave, maintain the integrity of HR and payroll data, and ensure information is stored securely and managed in accordance with procedures. The role also involves undertaking monthly data checks, producing reports for other departments to support effective collaboration across the College, and contributing to the successful delivery of the People Strategy.
Responsibilities
* To lead on the administration of the sickness monitoring and recording process on a daily basis ensuring that sickness absence is recorded in accordance with sickness absence policies, procedures and processes relating to absence
* To lead on the administration in relation to family friendly processes, (including maternity, paternity and adoption) and other family leave and special leave requests, ensuring that correspondence is correct and payroll is instructed in a timely manner.
* To draft correspondence to include, acknowledging resignations, contract variations arising from the RCCP process and other general correspondence, ensuring that HR systems are correctly updated.
* To ensure that all data captured on the HR system is accurate
* To download reports for other departments, namely payroll, IT and MIS on a monthly basis
* To be responsible for ensuring the data captured on a monthly basis is accurate and timely to ensure payroll can undertake their processes
* Administer the process of post creation and change as per the approved outcomes from RCCP
* To undertake regular data checks and working with the HR / People team create action plans to address any issues
* Provide first line customer support with regard to annual leave, sickness absence, contract changes, maternity, paternity and special leave
* Producing data sets and reports to support monthly routine processes across college i.e. Starters and Leavers reports.
* To contribute proactively to a range of projects
* To participate in and attend fortnightly 1:1 meetings to receive feedback, discuss performance and recognise achievements
* To attend and participate in team meetings
* To work as part of the team to create an inspiring environment with an open communication culture setting high standards
* To encourage, support and engage with all members of the team working to achieve goals and priorities within a positive, developmental and inclusive team culture.
Qualifications
* CIPD Level 3 or willing to work towards
* Proven experience of working with HR systems within a HR/People department.
* Evidence of commitment to professional development
* A good standard of Maths and English
* Strong organisational and time management skills
* Excellent communication and interpersonal skills
* Proficiency in Microsoft Office Suite
* Background in HR
* Computer literate
