Main duties of the job

* The Administrator will work as part of the OD and Occupational Health & Wellbeing Service to deliver comprehensive, effective, and robust administration support to facilitate the running and promotion of the function.

* To provide administrative support to the OD team and the Occupational Health & Wellbeing department as needed.

* To promote corporate identity, vision, and strategic aims of the department and the Trust, working to support and implement the Trust’s People and Culture Plan.

* To represent the OD, Occupational Health & Wellbeing Service and ensure that stakeholders have confidence in the services offered and delivered by the departments and the Trust.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

In line with the Trust’s Starting Salary Procedure, all applicants will start at the bottom of the band for the position applied for, but can apply for a higher salary if they have previous experience relevant to the position.


Detailed job description and main responsibilities

· To adhere to the Trust’s guidance in the processing of confidential and sensitive information relating to personal and medical details of service users, external providers, and all other relevant parties. Adhering strictly to Information Governance, Data Protection, and Records Management requirements at all times.

· Maintain a clean, tidy, safe and secure working environment and reporting any equipment, building, fabric damages and repairs to the appropriate department

· Develop and maintain information systems and processes that assist in the delivery of the service and any projects, ensuring that progress is accurately captured.

· Assist in the planning of delegated projects and provide project support as and when needed.

Qualifications


Essential criteria

* NVQ level 3 or equivalent experience
* GCSE Maths and English or equivalent
* Excellent communication, listening and facilitative skills
* ECDL or equivalent experience


Desirable criteria

* NVQ 2 Business Administration or equivalent experience

Essential criteria

* Microsoft Office skills inc. Word, Excel, PowerPoint, Outlook.
* Customer service experience.
* Dealing with patient / staff over the phone
* Dealing with difficult conversations and situations
* Working without direct supervision


Aptitude and Abilities

* Good interpersonal skills
* Self-motivating and Positive outlook
* Excellent team worker
* Willingness to travel as necessary to attend meetings


Desirable criteria

* Ability to converse in Welsh
