Why we need you:
We’re looking for a Whisky Logistics Coordinator to join our Operations team in Scotland. A natural organiser who combines attention to detail, initiative and composure to keep everything moving smoothly.
In this role, you’ll coordinate the journey of our spirit and casks, from distilleries to filling, blending, bottling and beyond. You’ll work closely with distilleries, warehouses, logistics and production partners to make sure every drop is where it needs to be, when it needs to be there. You’ll also manage dry goods deliveries, ensure compliance with HMRC regulations and support the fulfilment of customer orders across the UK and internationally. Key Responsibilities
Spirit and Cask Logistics
* Coordinate the dispatch, receipt and tracking of new make spirit from distilleries to filling location.
* Plan and record cask movements, including fillings, reworks and outturns, ensuring full traceability in the ERP system.
* Manage the scheduling of vatting, blending and bottling activities in line with production plans.
* Support accurate cask and spirit inventory records, ensuring alignment with HMRC stock control requirements.
Production Support
* Support the setup of new materials and production items in the ERP system.
* Plan and coordinate deliveries of dry goods (e.g. glass, closures, labels, cartons) to meet production schedules.
* Ensure approval of vat samples in accordance with production plans.
* Issue production instructions and ensure accurate material allocation and reconciliation after bottling runs.
Order Entry and Fulfilment
* Ensuring all Sales Orders are entered into the ERP system. Liaise with hauliers and warehouses to confirm order booking and collection.
* Arrange domestic and international transport for finished goods, ensuring all customs and shipping documentation is accurate and compliant.
* Prepare and verify export paperwork, including commercial invoices, packing lists, EMCS movements and Certificates of Origin.
Data, Systems & Compliance
* Maintain up-to-date records in the ERP and HMRC systems.
* Support compliance audits and stock reconciliations.
* Support logistics and stock reporting for operations and finance teams.
You’ll bring:
* HNC / HND or degree in Supply Chain, Business, or related discipline is preferred. Alternatively, at least 5 years relevant experience is required.
* A background in whisky or spirits logistics, bonded warehousing or supply chain coordination.
* Strong understanding of HMRC excise movement and warehousing regulations (EMCS, WOWGR).
* ERP system know-how (e.g. Netsuite, SAP, Microsoft Dynamics or similar).
* Competent in Microsoft Excel and other business applications.
* Excellent attention to detail and data accuracy. Able to prioritise under pressure.
* Strong communication and coordination skills across departments and external partners.
* A proactive, collaborative mindset and a passion for great whisky.
