Would you like to work in the media Industry?

The Director of an established, family-oriented, award-winning music-publishing company requires a personal assistant to help grow the creative & innovative business.

The company produces music that is broadcast on media networks throughout the world, as well as producing promotional videos and well-being content.

As a Personal Assistant to the Director of a music company, you will play a crucial role in supporting the Director in their day-to-day operations and ensuring the smooth functioning of the company. This dynamic requires exceptional organisational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. You will be responsible for managing the Director's schedule, coordinating meetings and travel arrangements, and providing administrative support to facilitate efficient decision-making and communication within the company.


Responsibilities

* Schedule Management: Efficiently manage the Director's calendar, including scheduling and prioritizing appointments, meetings, and events. Anticipate conflicts and proactively resolve scheduling issues to optimise the Director's time.
* Communication and Correspondence: Act as a gatekeeper, screening and managing phone calls, emails, and other correspondence. Handle inquiries and requests, providing timely responses or redirecting them to the appropriate person.
* Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, transportation, and visa arrangements. Ensure all necessary arrangements are in place and provide detailed travel itineraries to the Director.
* Meeting Coordination: Prepare meeting agendas, materials, and presentations as required. Coordinate and schedule internal and external meetings, ensuring all participants are informed and prepared. Take meeting minutes, track action items, and follow up on outstanding tasks.
* Confidentiality and Discretion: Maintain strict confidentiality of sensitive information and exercise discretion in handling matters of a confidential nature. Handle sensitive documents, contracts, and legal paperwork with utmost professionalism and care.
* Project Assistance: Support the Director in various projects and initiatives, conducting research, preparing reports, and providing relevant information and insights. Assist with project management tasks, including tracking deadlines, monitoring progress, and ensuring deliverables are met.
* Office Management: Oversee general office operations, including ordering supplies, maintaining office equipment, and coordinating with vendors and service providers. Ensure the office environment is organized and presentable at all times.
* Relationship Management: Build and maintain positive working relationships with internal teams, external stakeholders, clients, and industry professionals. Professionally represent the Director during meetings and events.

Experience in the music industry is not essential, provided that the candidate has the relevant skills.

There is no public transport to our HQ, so personal transportation is essential.
