Hours: 40 Hours Per Week Salary: Up to £35,000 Location: Brentwood Office (with occasional site visits) Role Purpose To provide dedicated administrative and coordination support to the London Lightning Protection and Earthing production team, ensuring jobs progress smoothly from activation to completion and invoicing. This role focuses on post-quotation workflows, managing job setup, documentation, scheduling, and communication between operatives, clients, and internal teams, freeing supervisors and engineers to focus on delivery and technical quality. Key Responsibilities Job Setup & Workflow Management Create and maintain all production jobs in IFS and Monday.com once jobs are confirmed and activated. Upload all documentation to job records, including risk assessments, RAMS, permits, and site drawings. Manage operative scheduling and attendance, coordinating with the booking team and supervisors. Documentation & Compliance Assist in production of RAMS, inductions, and permits for all operative attendance. Assist in delivery of O&M manuals, ITPs, and test certificates post-completion. Track operative training and site access requirements (LUL/Sentinel, CSCS, IPAF). Finance & Commercial Support Assist supervisors with tracking variations, re-quotes, and completed works to ensure financial breakdowns and invoices are raised. Assist with financial breakdowns and invoices for ongoing projects Communication & Reporting Serve as the first point of contact for London Lightning Protection job updates for clients. Assist with design, estimating, and test/inspect teams to resolve scope errors or missing details post-activation. Fleet Administration Maintain and update fleet records for all operatives’ vehicles, including service schedules, MOT, insurance, and mileage logs. Coordinate vehicle bookings, maintenance, and repairs to minimise downtime. Support the implementation of fleet safety policies, including defect reporting and vehicle checks. Liaise with suppliers and fleet managers to ensure replacement vehicles or hire vans are arranged when needed. Skills & Experience Required Strong administrative and scheduling experience in construction or subcontractor environments. Proficiency in ERP systems (IFS) and project workflow tools. Experience in creating RAMS, O&M documentation, and site packs. Organised, detail-oriented, and able to manage a high volume of concurrent jobs. Comfortable liaising with multiple stakeholders (operatives, site managers, clients, subcontractors). Desirable Qualifications CSCS card or willingness to obtain. Prior experience in production planning, field service coordination, or fleet administration. Key Competencies Attention to detail to ensure job accuracy and avoid rework.
