About the Role
MacQuarries Pharmasave Group is 16 stores strong across Mainland Nova Scotia. We are currently looking for a Merchandise Associate to join our growing team. The Merchandise Associate is an integral member of the Buying Office, providing administrative and operational support to Buyers and Associate Buyers.
This role plays a critical part in ensuring the accuracy, integrity, and efficiency of merchandising data and purchasing processes. The Merchandise Associate is responsible for item setup, product file maintenance, purchase order creation, and supporting the day‑to‑day administrative functions of the buying team. This is a detail‑oriented administrative role that directly supports merchandising execution and overall business performance.
Key Responsibilities
Item & Product Setup
* Create new items in the merchandise system accurately and in a timely manner
* Set up and maintain product codes, vendor information, cost files, and pricing data
* Ensure data accuracy and completeness for all product records
* Maintain organized and up‑to‑date digital and system files
* Audit and validate item information to ensure accuracy
* Maintain consistency across SKU data, vendor files, and pricing structures
* Support ongoing data cleanup and process improvement initiatives
* Identify discrepancies and elevate as needed
Purchase Order Administration
* Create and process purchase orders as directed by Buyers
* Ensure PO accuracy (cost, quantities, dates, vendor details)
* Track order confirmations and support follow‑up as required
* Maintain organized records of purchase documentation
Buying Office Support
* Provide administrative support to Buyers and Associate Buyers
* Assist with reporting, spreadsheets, and documentation preparation
* Coordinate internal communication related to item setup and PO processing
* Support ad‑hoc projects and seasonal initiatives
* Assist with vendor correspondence as directed
Qualifications
* Strong attention to detail and data accuracy
* Excellent organizational and time‑management skills
* Proficiency in Microsoft Office, especially Excel
* Comfortable working with databases or ERP systems
* Strong communication skills
* Retail, merchandising, or administrative experience preferred
Success in the role:
