Role Overview:
We are looking for an organised, proactive, and approachable Business Support Assistant to support the Office Manager and wider business operations at Paramount Digital.
This is a varied and hands-on role that will provide support across several areas of the business, including office administration, HR processes, sales support, and team culture. It's ideal for someone who enjoys variety, thrives in a busy environment, and is looking to develop their career in business operations and people support.
Initially, this role will focus on assisting and learning, with opportunities to take on more responsibility as experience grows.
Key Responsibilities:
1. Office Administration & Support
* Support the day-to-day running of the office to ensure it remains professional, safe, and well-organised.
* Assist in maintaining office supplies, equipment, and supplier relationships.
* Help with meeting room bookings, visitor coordination, and general office upkeep.
* Provide administrative support to Directors and Office Manager, including diary management, correspondence, and documentation.
* Assist in maintaining company records and shared filing systems (digital and physical).
* Support in coordinating health and safety compliance checks and workstation assessments.
* Liaise with building management and service providers under guidance from the Office Manager.
2. Sales Administration & CRM Management
* Support the Strategic Growth and Marketing team with administrative tasks and documentation.
* Assist in setting up and maintaining client and lead records in and other CRM systems.
* Help to check and update CRM data for accuracy.
* Support the preparation of weekly and monthly sales activity reports.
* Assist with client onboarding processes, ensuring smooth communication between departments.
* File and organise sales contracts, proposals, and related documents securely and accurately.
3. HR & People Support
* Assist in preparing new starter documentation and onboarding packs.
* Help coordinate inductions, system access, and equipment setup for new employees.
* Support with absence, holiday, and sickness tracking.
* Assist in scheduling performance reviews and preparing related documents.
* Help maintain and update HR and policy documents.
* Support internal communications around people updates, initiatives, and events.
4. Culture & Team Engagement
* Assist in organising monthly team lunches, social events, and company celebrations.
* Support staff recognition initiatives and maintain calendars for birthdays, anniversaries, and key dates.
* Help deliver internal engagement and wellbeing activities.
* Contribute to increasing a positive, inclusive, and supportive workplace culture aligned with company values.
Skills and Experience
* Previous experience in administration or office support (ideally within a fast-paced environment).
* Excellent organisational skills with strong attention to detail.
* Confident communicator, with good interpersonal skills and a friendly, professional manner.
* Ability to multitask, prioritise, and adapt to changing priorities.
* Proficient in Microsoft Office and Google Workspace.
* Discretion and professionalism when handling confidential information.
Desirable Attributes
* Experience with CRM systems such as
* Familiarity with HR software like BrightHR.
* Understanding of health and safety or facilities management.
* Enthusiasm for team culture, engagement, and wellbeing initiatives.
