Job Summary
We are an Oldbury based Electrical contracting company seeking a highly organised and detail-oriented Office Administrator to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing office tasks, and facilitating communication. This position requires a proactive individual with excellent computer skills and a strong understanding of office procedures.
Responsibilities
* Front of house duties, being the first point of contact for telephone calls, e-mails and visitors.
* Handle incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette.
* Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
* Support MD with ad hoc projects.
* Book accommodation for engineers working away.
* Creating electrical certificates and reports.
* Creating RAMs and associated paperwork for each contract.
* Create O&M manuals including certificates, drawings and manufacturers literature.
* Organise all training and ensure training documents are kept up to date.
* Manage vehicle records and book MOT and servicing to keep the company vehicles compliant.
* Approving engineer timesheets and expenses.
* Check holiday requests and manage the holiday planner.
* Managing and order stationary stock.
* Compile health and safety documentation to keep our accreditation status each year.
* Take minutes during the management meetings.
* Manage the contract managers calendars/diaries.
* General administrative tasks, printing, photocopying, fire alarm tests, meter readings.
Requirements
* Previous office experience is essential, with a strong background in administrative roles preferred.
* Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Excel).
* Excellent organisational skills with the ability to prioritise tasks effectively.
* Strong typing skills with attention to detail for data entry tasks.
* Demonstrated clerical experience in an office setting is desirable.
* Able to work individually and to guidelines/timelines.
Job Type: Part-time
Pay: £16,900.00-£21,840.00 per year
Expected hours: 25 – 30 per week
