Hays are looking for an Executive Assistant working for a reputable organisation in Wolverhampton. This role would be to provideprehensive, proactive, and confidential executive support to the Chief Executive Officer (CEO). The role focusses on managing diaries,munications, and information systems efficiently while collaborating closely with the Senior Leadership team to support the organisation’s strategic objectives. The post holder will act as a key liaison for internal and external stakeholders, ensuring effective business relationships and high-quality administrative support within a fast-paced, policy-driven environment.
Your new role
As an Executive Assistant your role will involve:
1. Provide high-quality executive support to the CEO.
2. Manage the CEO’s diary, including scheduling meetings, travel arrangements,mittees, and events.
3. Handle the CEO’s internal and externalmunications promptly and appropriately.
4. Prepare, collate, and distribute materials for working groups and meetings; attend meetings, take minutes, and follow up on actions.
5. Support strategic projects through research, document drafting, and information collation to assist decision-making.
6. Organise and host high-profile events and visits, including venue liaison and negotiation.
7. Lead the transition to a paperless office by utilising existing ICT platforms and developing new electronic systems.
8. Maintain office supplies inventory and manage purchasing.
9. Create and maintain filing and information systems.
10. Manage phone calls, mail, and email correspondence.
11. Undertake other duties aligned with the role as requested by the CEO.
12. Occasionally, work outside normal hours as required.
What you'll need to succeed
You will need demonstrable experience with the following:
13. Educated to A-level or equivalent (NVQ Level 3 or national diploma).
14. GCSEs (grade A-C) in English and Mathematics or equivalent.
15. Degree-level qualification or equivalent experience.
16. Business Administration qualification.
17. Experience Proven experience in administrative, secretarial, and organisational support in a busy office environment.
18. Experience managingplex calendars, coordinating meetings and events.
19. Skilled in taking accurate minutes and circulating meeting outputs efficiently.
20. Experience in academic or similar professional settings.
21. Knowledge and Skills Strong planning skills with the ability to identify key deliverables and critical paths.
22. Ability to work independently, be proactive, and apply knowledge flexibly. Excellent written and verbalmunication skills, adaptable to different audiences. Ability to maintain confidentiality and exercise discretion with sensitive information.
23. Proficient in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
24. Excellent multitasking and workload management skills.
25. Resilient, tenacious, and able to work well under pressure.
26. Strong interpersonal skills for building and maintaining positive relationships.
