Customer Service Administrator - Part-Time
Reports to: Production Manager
Based at: Langage Science Park, Plymouth
Job purpose: To process and manage sales orders received from VacSax customers and provide excellent customer service.
Key responsibilities and accountabilities:
1. Receive, respond to, and follow up on telephone sales inquiries.
2. Provide help and advice to customers, investigate, and help solve customer problems.
3. Input sales orders received onto Sage.
4. Check stock levels and liaise with production, warehousing, and other departments as necessary to meet customer requirements.
5. Prepare manifests and appropriate paperwork for daily dispatch.
6. Arrange and book transport for shipments to Regional Distribution Centres.
7. Raise customer invoices and credit notes, and process them accordingly.
8. Manage, organize, and update relevant data using database applications.
9. Communicate and provide information by relevant methods internally and externally to assist organizational operations and effective service delivery.
10. Interpret instructions and issues, then implement actions according to administrative policies and procedures.
11. Monitor and report on activities, providing relevant management information.
12. Liaise and attend meetings with other company functions to perform duties and support business development.
13. Adhere to policies and procedures related to health and safety, and quality management.
14. Properly use and care for equipment and materials for which the role is responsible.
15. Attend training sessions to develop relevant knowledge and skills.
16. Provide holiday and absence cover within the administration office.
17. Perform any other reasonable tasks as requested by immediate management.
