Aston University is seeking a highly skilled and motivated Systems Administrator to join its Estates & Capital Developments team. This is a full-time, permanent opportunity to work within one of the UK’s most innovative and inclusive Higher Education institutions, located in the heart of Birmingham.

This role is ideal for professionals with experience in systems administration, facilities management technology, and enterprise platforms—particularly those familiar with Planon or similar CAFM systems. You will play a pivotal role in supporting and enhancing the university’s Estates and Facilities Management systems, ensuring operational excellence and alignment with ITIL best practices.


About the Role

As Systems Admin Officer, you will be responsible for the administration, support, and continuous improvement of the Planon platform and other related systems. You will act as a subject matter expert, ensuring high system availability, performance, and compliance with institutional objectives. Your work will directly contribute to the safe, efficient, and compliant delivery of facilities services across the university.

You will collaborate closely with the Estates & Capital Developments team, the Digital Services team, and external software providers. Your ability to communicate technical concepts clearly and work across departments will be essential to your success.


Key Responsibilities

* Administer and maintain the Planon platform and other Estates-related systems
* Ensure optimal system performance, availability, and security
* Implement upgrades, patches, and configuration changes in collaboration with vendors
* Provide technical support and troubleshooting for system users
* Promote the use of digital tools to enhance service delivery and operational efficiency
* Align system operations with ITIL best practices and university policies
* Develop and maintain technical documentation and user guides
* Deliver training and support to internal stakeholders
* Identify opportunities for automation and process improvement


Candidate Profile

We are looking for a candidate with a strong technical background and a proactive approach to problem-solving. You should be comfortable working in a fast-paced environment and capable of managing multiple priorities.

Essential qualifications and experience include:

* Proven experience in systems administration, ideally within a facilities or estates context
* Strong working knowledge of Planon or similar CAFM platforms
* Familiarity with ITIL frameworks and service management principles
* Excellent analytical and communication skills
* Ability to work collaboratively with internal teams and external vendors
* Experience in Higher Education or large-scale public sector environments is advantageous
