Summary
As a Patient Care Navigator, you will be essential in managing the front office operations of the practice. Reporting to the Reception Lead, your core skills in office and administrative experience will ensure efficient patient scheduling, record management, and communication with medical staff. You will be responsible for greeting patients, handling enquiries, and maintaining a welcoming environment. Your attention to detail and organisational abilities will contribute significantly to the smooth functioning of the practice, ultimately enhancing patient care and satisfaction.
Key Responsibilities
* Greet and log patient arrivals using the practice's computer system.
* Explain practice procedures to new and temporary patients and assist with registration.
* Inform patients of relevant charges for private services, accept payments, and issue receipts.
* Respond promptly and courteously to queries and requests for assistance from patients and visitors.
Appointments and Home Visits
* Book appointments using the computerised system, including regular and ad-hoc variations.
* Record home visit requests, ensuring all relevant details (address, reason, urgency) are captured and referred to the duty doctor when needed.
* Organise ambulance transport as required and document appropriately.
Administrative Support
* Process new patient registrations and update electronic health records.
* Ensure patient contact details, especially telephone numbers, are kept up to date.
* Manage change of address requests and update records accordingly.
* Photocopy documents, including practice leaflets and patient notes, as needed.
* Distribute and input information forms for patient record updates.
* Maintain cleanliness and tidiness in reception and waiting areas.
* Monitor notifications and tasks; escalate unresolved or urgent matters to relevant colleagues.
Telephone System Operations
* Answer and make telephone calls; take messages or transfer calls as appropriate.
Daily Opening and Closing Procedures
* Open the premises and prepare the reception area at the start of the day.
* Secure all areas at the end of the day, including locking windows and doors.
Additional Duties
* Receive deliveries and transport items to appropriate destinations.
Qualifications and Skills Required
Essential
* Previous office / administrative experience
* Strong organisational and multitasking skills
* Excellent communication and interpersonal abilities
* Proficiency in using office software and scheduling tools
* Ability to handle patient enquiries and manage appointments
Desirable
* Familiarity with medical terminology
* Systmone training
Hours:
MONDAY - 8am - 4pm
TUESDAY - 8.30am-6.30pm
WEDNESDAY - OFF
THURSDAY - 8.30am - 6pm
FRIDAY - 8.30am -6pm
