Job Description

The Receptionist serves as the first point of contact for visitors, clients, and callers. The individual in this role is responsible for managing the front desk area, ensuring that all visitors are greeted warmly, and providing administrative support to other departments as needed. A receptionist must be professional, organised, and capable of handling multiple tasks efficiently.


RESPONSIBILITIES & DUTIES

* Greet visitors warmly and ascertain the purpose of their visit. Direct visitors to the appropriate department or individual. Maintain a friendly and professional demeanour at all times.
* Answer incoming phone calls promptly and professionally. Screen calls and direct them to the appropriate department or individual. Take messages and ensure timely delivery to the appropriate person.
* Ensure the front desk area is clean, organized, and well-stocked with necessary supplies. Manage the visitor log and security procedures for visitors. Monitor and distribute incoming and outgoing mail, packages, and deliveries.
* Assist with scheduling appointments and meetings. Coordinate conference room bookings and ensure rooms are prepared for meetings. Organising catering arrangements. Provide general administrative support, including data entry, filing, and document management.
* Order office supplies and keep track of inventory. Assist with organising office events, meetings, and travel arrangements.
* Collate timesheets and enter data into database; running reports to provide data for management.
Qualifications

Essential:

* Good working knowledge of MS Application (Word, Excel, Outlook, PowerPoint).
* Strong verbal and written communication skills. Must be able to communicate effectively with a wide variety of people.
* Ability to manage multiple tasks at once, stay organized, and prioritize effectively.
* Accuracy and attention to detail in all aspects of the job, including messages, appointments, and filing systems.
* Ability to quickly resolve issues and provide solutions for visitors, clients, or staff.
* Flexible cooperation with other team-members.

Desirable

* Qualification in Administration/Similar.
