HOURS – FULL OR PART TIME
The Glenfield Surgery is looking to recruit a highly motivated and enthusiastic Correspondence Clerk to join our hardworking friendly team.
Job Summary:
The Correspondence Clerk is responsible for managing and processing all incoming patient correspondence within the practice. The role requires a high level of accuracy, attention to detail, and previous experience using the SystmOne clinical system. You will play a key role in maintaining up-to-date patient records and supporting clinical and administrative teams.
Main Duties and Responsibilities:
Correspondence Management:
· Scan and process all incoming correspondence (including hospital clinical letters, results, reports, discharge summaries).
· Applying correct read codes in line with practice protocols.
· Monitoring the surgery email accounts daily.
· Daily actioning of tasks, emails, and queries
· Extracting vital QOF data from correspondence and inputting into records.
· Allocate and forward documents to the relevant clinicians for review and action.
Data Quality & Record Keeping:
· Maintain high standards of data quality, ensuring all records are up to date and coded correctly.
· Work in accordance with GDPR, NHS guidelines, and practice policies to maintain confidentiality and data security.
· Liaise with GPs, nurses, pharmacists, and other members of the practice team regarding documents requiring attention.
· Answer queries from colleagues relating to patient correspondence or document handling.
Administrative Support:
· Assist other administrative staff during busy periods or absences.
· Participate in audits or data-cleansesas requested by the Practice Manager.
Person Specification:
Candidate would ideally have:
* A knowledge of medical terminology
* Good IT and communication skills
* Attention to detail and efficient time management.
* Experience in a similar role/environment i.e., Pharmacy Dispenser; Receptionist; Note Summariser or Medical Secretary would be beneficial but not essential as full training will be given to the successful candidate.
Criteria Essential Desirable
Education & Qualifications Experience IT Skills Attention to Detail Communication Skills Team Working Confidentiality GCSEs or equivalent including English and Maths Experience in a medical admin role using SystmOne. Proficient in Microsoft Office and digital communication tools High level of accuracy in data entry and document handling Clear verbal and written communication Ability to work flexibly as part of a busy admin team. Understanding of patient confidentiality and data protection NVQ Level 2/3 in Admin or equivalent Experience working in a GP surgery or NHS organisation. Knowledge of e-RS and NHS coding protocols Audit or data quality improvement experience Comfortable liaising with clinical and non-clinical staff Willingness to support wider practice admin tasks. GDPR training or experience
Other Requirements:
· This post will be subject to a DBS check.
· Occasional training may be required.
· Must be flexible to cover annual leave or sickness within the admin team.
