Job Purpose:

As a receptionist, you’ll play a key role in keeping our workplace running efficiently and securely. Reporting to the Facilities and Health & Safety Manager, you’ll be responsible for reception duties and monitoring access to the warehouse to ensure the safety of our site. You’ll also support the Facilities Co-ordinator & Preventive Officer with a range of administrative and purchasing tasks, helping to maintain a smooth and well-organised working environment.

The role will include but is not limited to:

Reception & Site Access

1. Welcome and manage all visitors at reception, monitoring the intercom and main door to ensure safe and secure access.
2. Register visitors accurately using the ‘Findwhere’ visitor system and provide them with the necessary health and safety documentation
3. Issue visitor badges and PPE, ensuring warehouse access is granted in line with company procedures.
4. Provide temporary access to warehouse colleagues when needed.
5. Support with onboarding for new starters, by preparing access cards, vehicle stickers, locker labels, and emergency contact cards.

Administrative Support

6. Support the Facilities and Health & Safety Manager with ad-hoc administrative tasks and ongoing projects.
7. Manage tasks and resolve requests through the Facilities JIRA ticketing system.
8. Carry out purchasing duties, including ordering supplies for the office and employee facilities.
9. Monitor and respond to emails in the general Facilities mailbox, responding and actioning standard enquiries.
10. Follow up with contractors and suppliers to chase outstanding work or updates.
11. Keep the site calendar up to date with planned contractor visits and other external appointments.

Health & Safety Compliance

12. Provide visitors with lanyards containing Health & Safety information.
13. Support the Facilities team during the onboarding process for new starters where needed.
14. Record all accidents, incidents and near misses for NL on the H & S templates
15. Assist with registration of LMS training for all colleagues
16. Review DSE overview document and highlight outstanding items and renewal dates
17. Plan and book BHV training as required

Candidate Profile:

18. Comfortable communicating in both Dutch and English, written and spoken.
19. Able to multitask and organized while maintaining attention to detail.
20. Friendly and professional approach with confidence when dealing with colleagues, contractors, and visitors.
21. Excellent working knowledge of Microsoft Office 365 (Outlook, Word, Excel) and comfortable learning new systems.

What we offer you:

26. Benefit from a pension scheme with contributions of up to 6%
27. Holiday allowance of 25 days per year, plus an additional 8% of your salary paid once a year.

Pay:

29. €16,50 per hour

Hours and Days:

30. 25 hours per week – 07:00 – 12:00, 5 days per week
