Role Overview
We are seeking a highly organized and proactive Property & Lettings Administrator to manage our property portfolio and serve as the primary point of contact for maintenance-related issues. This pivotal role involves coordinating with tenants, letting agents, local authorities and maintenance teams to ensure the timely and effective resolution of repairs.
The successful candidate will log maintenance requests, liaise with stakeholders, track progress and maintain accurate records to monitor performance. This position demands exceptional communication, organizational and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment.
This role offers significant career growth opportunities, with the potential to expand into areas such as sales, short-term rentals (e.g. Airbnb) and other commercial aspects of the business. The successful candidate will also contribute to shaping future marketing strategies, including website development, email campaigns and social media initiatives.
Key Responsibilities
* Record and evaluate maintenance requests, performing basic troubleshooting as needed.
* Coordinate with all stakeholders to ensure efficient coordination and prompt completion of works.
* Follow up on completed jobs to confirm satisfactory outcomes and tenant satisfaction.
* Maintain accurate records and capture data to support performance monitoring.
* Contribute to the achievement of the company's goals and performance targets.
* Support future marketing initiatives, including website design, email campaigns (e.g. MailChimp) and social media strategies.
Key Skills and Competencies
* Customer Service: Deliver professional, responsive service to tenants and agents, ensuring high satisfaction and timely issue resolution in line with Eluvis Group's commitment to quality.
* Communication Skills: Confidently communicate with tenants, agents, contractors and internal teams, both verbally (in-person and over the phone) and in writing.
* Organization and Prioritization: Efficiently manage multiple maintenance requests, prioritise tasks based on urgency and meet deadlines in a fast-paced environment.
* Attention to Detail: Ensure accurate logging of maintenance issues, updating records and maintaining compliance with internal systems and processes.
* Technical Proficiency: Proficient in CRM tools and Microsoft Office Suite, with a willingness to learn new systems.
* Problem-Solving: Proactively identify and troubleshoot issues, escalating complex matters appropriately.
* Time Management: Handle a high volume of tasks with minimal supervision, maintaining performance during peak periods.
* Property Sector Knowledge: Familiarity with property maintenance processes and tenant relationships is advantageous; a keen interest in developing expertise in this area is essential.
* Professionalism and Discretion: Maintain a courteous, respectful demeanor and uphold confidentiality in all interactions.
Requirements
* Proven experience in an administrative role, ideally within property/lettings management or a related field.
* Strong IT skills, with a focus on accuracy and attention to detail. If you have experience of using SmartSheet's, this would be advantageous.
* Ability to demonstrate a keen understanding of the Key Laws and Regulations for Residential Lettings, in the UK.
* Qualifications from ARLA Propertymark or the National Residential Landlords Association (NRLA) would be advantageous.
* Excellent telephone manner and interpersonal communication skills.
* Ability to thrive in an office-based environment, managing multiple tasks effectively.
