Executive Assistant Key Responsibilities:
* Manage the CEO's complex and dynamic calendar, coordinating meetings, appointments, external engagements, and customer visits across multiple time zones.
* Arrange travel for the CEO, including international trips, hotel bookings, transfers, and detailed itineraries.
* Exercise discretion in managing the CEO's time, proactively assessing needs for calendar and travel arrangements.
* Keep the CEO informed of urgent and priority issues, ensuring appropriate follow-up.
* Prepare, reconcile, and submit expense reports.
* Support company events actively.
* Collaborate with Internal Communications for project management support.
* Manage emails and handle confidential information.
* Create and prepare reports and presentations.
* Support additional duties as assigned, including assisting other departments.
Executive Assistant Key Requirements:
* Proven experience supporting senior management in an EA role.
* Exceptional written and verbal communication skills, with a professional and friendly demeanor.
* Strong time-management skills, capable of managing multiple projects; experience with project management is a plus.
* Expertise in managing corporate travel arrangements.
* Ability to work effectively with senior leaders, maintaining a customer-focused approach while protecting the CEO's time.
* Resilience and ability to work under pressure, meeting deadlines with meticulous attention to detail.
* Team player with flexibility and adaptability to changing demands.
* Proactive problem-solving skills and willingness to embrace challenges.
* Flexible working hours to support the CEO's needs.
* Experience managing budgets and expenses.
* Proficiency with Microsoft Office tools.
* Ability to maintain confidentiality of sensitive information.
