Logistics Operations Support Co-ordinator
(Monday - Friday, site based - 08.00am - 4.30pm)
This role has been created to keep a high standard on the Resource and Reconciliation departments and to build on our current accomplishments.
Reconciliation
The Reconciliation department is responsible for the accurate processing of customer orders following delivery by the driver. This team plays a vital role in ensuring that all orders meet established criteria for invoicing, thereby contributing to the overall efficiency and accuracy of our billing processes.
Resource
The Resource team serves as the foundational component of the Scheduling function, playing a critical role in ensuring that drivers’ needs are met and that schedules are prepared accurately and promptly for effective planning.
Key Responsibilities
Reconciliation
Input Flexi driver delivery details into the system
Validate and reconcile customer orders to ensure compliance with invoicing criteria
Ensuring that orders are processed within a timeframe not exceeding 3 weeks from delivery
Identify and resolve discrepancies or issues related to orders, employing strong problem-solving skills
Driver paperwork management
Raising shift errors with the Logistics Support Team
Chase any missing delivery documents with remote Flexigrid depots
Provide Resource inbox administration support
Send delivery paperwork to haulage only customers
Carrying out Driver loading error corrections
Resource
Manage driver requirements, including overtime, holiday requests, and sickness reporting ensuring all deadlines are consistently met
Construct and adjust driver schedules in a timely manner, ensuring that all shifts are adequately filled
Ensure that each driver is assigned a truck and trailer, incorporating specific routing requests into their shifts
Maintain accurate records of fleet availability, including fleet maintenance and Vehicle Off Road (VOR) statuses, in the scheduling system
Collaborate closely with the planning team and Fleet team to ensure seamless scheduling operations
Facilitate efficient scheduling that meets operational needs and enhances driver satisfaction
Maintain up-to-date records in the scheduling system to reflect the status of all vehicles
Send confirmation texts to drivers regarding schedules, changes, and important updates to ensure clear communication and operational efficiency
Prepare the next day’s Fleet Management sheet, ensuring that all planned maintenance and Vehicle Off Road (VOR) statuses are accurately captured and driver / vehicle movements are documented to facilitate smooth operations
Ensure that all assets scheduled for planned maintenance have a designated plan for transportation to the workshops, facilitating timely servicing and minimising downtime
Next Day Unmanned Planning: Identify gaps in coverage and proactively manage resources to ensure next-day operations are fully staffed.
Truck/Trailer Administration: Maintain accurate records and manage administrative tasks relating to fleet vehicles
Skills, Knowledge and Expertise
Haulage or Logistics background is preferred
Able to work in an open plan office that is very busy
Ability to multi-task
Ability to work on multiple systems
Must have strong Microsoft applications experience i.e. Word, Excel, Teams and Outlook
Must be able to work as part of a busy team
Must have strong organisational and administrative skills
