This role is with a dynamic and customer-focused workspace provider operating across a portfolio of business centres in the UK. As part of a small and collaborative team, this position supports the day-to-day operations of two prominent business centres. Working closely with the Centre Manager, the role includes a blend of administrative and front-of-house duties, as well as exposure to property management functions including business rates administration. Key Requirements

Provide daily administrative support to the Centre Manager.
*
Take minutes during fortnightly summary meetings and distribute updates.
*
Prepare expense claims for the CEO.
*
Set up meetings via Microsoft Teams.
*
Update and maintain Excel spreadsheets with tenant occupancy data.
*
Save and manage documents on the shared drive.
*
Liaise with local authorities to reflect tenancy changes for business rates.
*
Administer and verify business rates notifications and refund processes.
*
Collaborate with the Financial Controller and accounts team on payments and liabilities.
*
Conduct annual business rates forecasting for the property portfolio.
*
Handle general ad-hoc administrative tasks as needed.
*
Deliver professional front-of-house reception duties.
*
Greet visitors, manage phone calls, and coordinate meeting room bookings.
*
Organise refreshments and maintain a tidy, welcoming reception space.
*
Support internal events and meetings held on-site.
Skills & Experience

Excellent Microsoft Excel, Word, and general IT proficiency – Essential

Confident with Teams and virtual meeting scheduling – Essential

Strong interpersonal and communication skills – Essential

Experience in a reception or client-facing role – Essential

Understanding of business rates processes – Desirable
