Main duties of the job
You will manage incoming and outgoing correspondence, including emails, post, and electronic referrals, and coordinate patient referrals to hospitals and specialist services. This involves liaising with external healthcare providers, tracking referral progress, and following up on outstanding appointments, results, or reports.
Maintaining accurate and up-to-date patient records is essential, ensuring all information is recorded in line with NHS guidelines and confidentiality standards. You may also support appointment coordination and assist clinicians with general administrative tasks to help manage their workload effectively.
The role requires handling sensitive patient information with discretion at all times, prioritising tasks efficiently in a busy environment, and contributing to a well‑organised, responsive administrative service that supports high‑quality patient care.

Job responsibilities
* Typing and formatting clinical letters, reports, and referrals.
* Managing incoming and outgoing correspondence (emails, post, electronic systems such as NHS e-Referral Service)
* Coordinating patient referrals to hospitals and specialist services
* Liaising with hospitals, consultants, and other healthcare providers
* Maintaining accurate and up-to-date patient records in line with NHS guidelines
* Handling sensitive patient information in compliance with GDPR and confidentiality policies
* Supporting clinicians with administrative tasks and workload management
* Tracking and following up on outstanding referrals, test results, and reports
Qualifications
* GCSEs (or equivalent) including English and Maths (Grade C/4 or above)
* Evidence of continuous professional development relevant to administrative or healthcare settings
* Excellent typing and audio transcription skills with a high level of accuracy and attention to detail
* Strong organisational skills with the ability to prioritise workload and meet deadlines in a busy environment
* Ability to work independently as well as part of a team
* Professional, discreet, and empathetic approach when dealing with sensitive information
* RSA Level 2/3 or equivalent qualification in typing/word processing (or demonstrable equivalent experience)
* Qualification in Business Administration or Medical Administration (or equivalent experience in a similar role)
* Proven experience using SystmOne (SystemOne) within a GP practice or healthcare setting
* Ability to accurately input, update, and retrieve patient information using the system
* Experience managing referrals, correspondence, and document workflow within SystmOne
* Understanding of data quality, coding, and maintaining accurate electronic patient records
