Surgical Medical Secretary

An exciting opportunity for a motivated and enthusiastic Band 3 Medical Secretary to join the General Surgery team at James Paget University Hospitals NHS Foundation Trust. Working closely with consultants, junior medical staff, and the wider multidisciplinary team, you will play a key role in ensuring an efficient and patient‑focused service. The role requires excellent organisational skills, attention to detail, and the ability to manage a varied and busy workload. You will be responsible for managing clinical correspondence, coordinating patient pathways and acting as a point of contact for patients and healthcare professionals.
The post holder will work independently, using initiative to manage a busy and varied workload, while contributing to the effective running of the department.
The post holder will provide a comprehensive, efficient and effective secretarial service to the General Surgery team, supporting the delivery of a high‑quality patient‑focused service.
Main Duties
* To provide a full range of secretarial support to consultants and their teams, ensuring all correspondence is produced to a high standard and within agreed timescales.
* To accurately transcribe, type and distribute clinical letters, reports and other correspondence using a digital dictation system.
* To manage and prioritise incoming and outgoing communications, including telephone calls, emails and post, dealing with enquiries in a professional and timely manner.
* To coordinate booking of Theatre lists, ensuring compliance with Trust targets and RTT pathway.
* To support the management of patient pathways, proactively identifying and escalating any potential delay.
* To maintain and update patient records on Trust systems, ensuring data quality, accuracy and confidentiality at all times.
* To liaise effectively with patients, relatives, GPs and other healthcare professionals, acting as a key point of contact for the service.
* To assist with the management of waiting lists and ensure all administrative processes support national and local performance standards.
* To organise and maintain efficient filing systems in line with Trust policies and procedures.
* To provide cross‑cover for other medical secretaries as required to ensure continuity of service.
Qualifications
* Typing qualifications to RSA II or equivalent experience.
* Good general standard of literacy and numeracy.
* Knowledge of medical terminology / AMSPAR qualification.
Experience
* Working knowledge and experience of using Microsoft Office packages, including Word, Outlook, Excel.
* Working knowledge and experience of using NHS systems.
* Secretarial experience in a clinical environment.
Skills
* Excellent verbal and written communication skills.
* Ability to work to tight deadlines and maintain concentration in a pressurised working environment.
* Demonstrate good organisational skills.
* Ability to work on own initiative, prioritise work and consistently meet deadlines.

* Ability to handle sensitive information without compromising confidentiality or Trust.

Salary: £25,760 to £27,476 a year (per annum pro rata).
