Job description
To organise the day‑to‑day operations of the FM Project and to provide clerical support to our FM projects, managers, employees and to coordinate all daily administrative activities.
Responsibilities
* Supporting the Facilities Management Projects with processing of invoices via the Orbit System.
* Raising requisitions, purchase orders and sub‑contract orders in Orbit as instructed by the Line Manager.
* Taking ownership of project‑related reports in collaboration with the Finance and Commercial Teams.
* Managing the financial ‘on‑hold’ report, handling queries raised against the report and clearing these within the prompt payment code.
* Providing administrative support to the Project Operations Teams.
* Maintaining invoice trackers and FM contract trackers.
* Dealing with enquiries to the project office from clients, customers, Galliford Try Facilities Management staff via telephone, email or direct on‑site access.
* Managing electronic communications in accordance with Galliford Try policies.
* Creating and closing tasks in the CAFM system for lifecycle, variations or chargeable works as instructed by the Line Manager.
* Supporting the Jeopardy & Planning Team with CAFM system updates.
* Receiving and appropriately actioning subcontract or supplier invoices in accordance with Galliford Try policies and procedures.
* Filing project and GTFM documents both electronically and in paper format as required.
* Assisting in the generation of GTFM invoices to clients and other recipients of GTFM services.
* Maintaining the stock of office consumables, uniform and PPE for the GTFM team at the required levels and controlling the purchase and issue of stationery.
About you
* Highly organised and capable of multitasking with ease.
* Relevant experience as an administrator or in a similar administrative role.
* Familiarity with office software (e.g., MS Office), including word processing, spreadsheets and presentations.
* Proficiency in Excel (must‑have).
