We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant to the CEO, Stuart Graham and the COO. In this role, you will provide comprehensive administrative support to the CEO and contribute to the smooth operation of the executive office. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to handle confidential information with discretion.
Responsibilities
* Manage the CEO's calendar, schedule appointments, and coordinate meetings for our executive team and for the wider business
* Prepare and edit correspondence, reports, and presentations
* Conduct research and gather information for various projects
* Handle incoming phone calls and emails, responding or redirecting as necessary
* Maintain and organize files, records, and documents
* Assist with travel arrangements and expense reporting
* Coordinate logistics for executive meetings and events
* Perform data entry and clerical tasks as needed
* Support the CEO in day-to-day administrative tasks
* Create outreach emails to set appointments for business development meetings
Requirements
* Experience in basic customer service and able to work quickly. Experience in this role previously is not essential as training and guidance will be given. More important is your willingness to learn and work fast, as well as your technical ability with required software such as Office. Would therefore suit a graduate or pre-graduate.
* Excellent phone etiquette and professional communication skills, including a perfect grasp of written English
* Strong typing and organizational skills including experience working with Outlook Calendars
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other tech platforms
* Familiarity with Google Suite (Docs, Sheets, Slides)
* Knowledge of administrative procedures and systems
* Ability to handle sensitive information with confidentiality
* Strong attention to detail and problem-solving abilities
What we offer
We offer flexible working with largely remote hours but one day per week in our London office is desired, as well as one day per week working at a satellite office in or around Cambridge. This can be flexible depending on the needs of the applicant.
