Role
This new post involves front-line responsibilities within our small and dynamic team. The Administrator will handle regular administrative tasks and communications including the main email inbox and providing support to our Operations and Fundraising Lead and Marketing Lead. This includes areas such as customer support, database management, and administrative tasks for marketing campaigns, events and the Board of Trustees'.
The successful candidate will be experienced, flexible, well organised, and able to show initiative. They will be enthusiastic about our work nurturing the health and wellbeing of children through song, and the Fischy Music values of positivity, respect, diversity, humour, and equality.
Hours of work will be spread over 4 days. The role is hybrid mainly working from home with attendance required at the Fischy Music office in Edinburgh, on Mondays.
Main purpose of role
The Administrator has a front-line role in helping Fischy Music deliver its strategic aims, through ensuring that regular administrative tasks and communications are handled efficiently and with a personable and positive attitude. They will manage the central email inbox, answer general enquiries, and provide support to all Fischy staff members: particularly the Operations and Fundraising Lead and the FMO and Marketing Lead. This includes (but is not limited to) areas such as FMO customer support, database management, marketing campaigns, events, and the work of the Board.
Main duties
* Responding to email and phone queries about subscriptions, events and general enquiries - directing specific queries to the relevant staff member.
* Providing administrative support to all staff members as required whether for routine tasks or specific projects.
* Supporting FMO subscribers at all stages, from initial contact to long-term customers.
* Processing invoices for Fischy Music Online
* Routine event administration such invoicing and post-event evaluation
* Assisting in the maintenance of databases and updating customer data
* Preparing materials for bulk postal or email campaigns
* Processing orders for physical products and dispatching these to customers
* Providing administrative support for the Board of trustees including taking minutes at Board meetings (around five times per year, either online or in person)
* Chasing up overdue invoices on a regular basis
Measure of success:
* Efficient day to day running of Fischy Music
* Tasks and projects successfully completed according to agreed timescales
* Positive feedback on admin processes and communication style from colleagues, FMO subscribers and other key contacts
* Increase in volume of evaluation evidence on the work of the organisation
Person specification:
Essential skills, abilities and knowledge
* A good level of professional experience of Microsoft applications particularly Word, Excel and Outlook.
* Database management and maintenance
* Providing knowledgeable, friendly customer support and managing general communications via email and telephone.
* Invoicing and order processing
* Efficient diary management such as organising meetings (in person or online), and maintaining a workable schedule of tasks and events in consultation with other staff members
* Managing stock levels and the physical/digital sales of resources and merchandise
* Willingness to learn and use software as required for Fischy operations such as Umbraco, Stripe, Xero.
