About the Role
A leading London-based hedge fund is seeking a highly organised and proactive Executive Assistant to provide maternity cover with an initial focus on supporting the Investor Relations team. This role offers a clear progression path: following the completion of the maternity contract, the position will transition into a full Office Manager role with wider responsibility across the business.
The ideal candidate will have experience supporting senior stakeholders within financial services, asset management, or a similarly fast-paced environment, and will be motivated by the opportunity to grow into a broader operational position.
Key Responsibilities
Phase 1: Maternity Cover – EA & Investor Relations Support/Office Coordinator
* Provide comprehensive diary and inbox management for senior Investor Relations stakeholders.
* Act as a key point of contact for internal and external communications, including investors and partners.
* Coordinate complex international travel arrangements, itineraries, and expenses.
* Prepare, format, and review IR documents, presentations, and meeting materials with high accuracy.
* Support meeting logistics, including agendas, minutes, follow-ups, and video conferencing arrangements.
* Maintain records, manage filing systems, and assist with compliance and operational processes.
* Work closely with HR, IT, Operations, and Compliance to ensure smooth day-to-day functioning.
Phase 2: Transition to Office Manager (Permanent Potential)
* Oversee office operations, facilities, and vendor/supplier management.
* Manage office procedures, procurement, and workplace efficiency improvements.
* Coordinate firmwide events, team offsites, and internal activities.
* Serve as the main point of contact for operational queries and office-wide communications.
* Support onboarding processes and contribute to employee experience and office culture.
* Ensure the office runs smoothly, professionally, and in line with the firm’s standards.
Requirements
* Immediate availability or ability to start at short notice.
* Proven experience as an EA within financial services or a similarly demanding sector.
* Excellent organisational skills and the ability to manage multiple priorities effectively.
* Strong communication skills and confidence interacting with senior stakeholders and investors.
* High proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
* Proactive, self-sufficient, and able to anticipate needs independently.
* Strong attention to detail and accuracy.
* High levels of discretion, professionalism, and confidentiality.
* Interest in or aptitude for office management, with the desire to grow into a broader operational role.
