The Project Administrator supports the Project Manager and Supervisor by performing project management tasks that do not require decision-making. These tasks include monitoring and maintaining the project financial forecast, ensuring correct posting of actuals, invoice triggering, and payment monitoring.
Job Description
1. Collects information to assist Project Manager and Supervisor in decision-making.
2. Monitors the project schedule (e.g., expiring S-plan milestones) and notifies the Project Manager of necessary updates.
3. Ensures all documentation is available and correctly archived.
4. Monitors invoicing status against the billing plan, reports deviations, and verifies collections.
5. Updates cost forecasts with actuals and incoming invoices, following relevant guidelines for forecast changes.
6. Creates purchase requisitions (PRs) in the system with complete information and consults the Purchasing Coordinator when needed.
7. Plans labor accurately before installation activities, including creating subcontracting PRs.
8. Monitors actual costs versus plans and reports deviations.
9. Uses correct activities and cost elements when booking actual costs.
10. Processes invoices without POs/GRs against planned primary costs.
11. Manages change orders/variation sales, ensuring timely handling, correct registration, and communication across relevant functions.
Requirements
* Basic knowledge of Microsoft Excel and good Outlook skills.
* Experience with SAP, Microsoft Teams, and Microsoft Office.
* Experience in reporting, data management, and general administration.
* Effective communication skills at all levels.
* Highly organized, detail-oriented, and capable of multitasking.
Full training will be provided.
