Work Activities & Responsibilities:
1. Integrate data to ensure compliance with the company management system.
2. Operate a policy of continued process improvement to increase the quality of services
3. Proactively contribute to the improvement of business development processes and resources
4. Support contractor issues and queries where required
5. Support colleagues and team members in their understanding of Contechs processes and project delivery
6. Support new sales opportunities with new and existing clients
7. Support CoC Leads to develop programme resource plans; external & internal resource to support program milestones
8. Receiving, understanding and processing Client RFQs
9. Log and Manage Client RFQs by processing into internal Contechs Operational Management System (COMS)
10. Manage Client Proposals, progressing COMS Proposal Stages and reporting accordingly
11. Preparation and ownership of Proposal Costings and Business Cases for Internal Review
12. Accurate and timely logging of Purchase Order receipt from the Sales Team into COMS
13. Progressing Customer Purchase Order stages within COMS
14. Creating and Progressing Job Codes and Job Budgets within COMS
15. Support Contechs Recruitment on offers and on-boarding actions effecting client focused teams
16. Raise and manage requisition forms where necessary
17. Raise and manage PAF forms where necessary
18. Facilitating Internal Commercial reviews and Change Boards
19. Reporting Commercial Status of Jobs as required
20. Costing and tracking customer support
21. Budget analysis and auditing as required
22. Support Invoicing Instruction as required
23. Take ownership of Job Projects by maintaining and reporting project trackers and issues escalated
24. Raising Job Trackers and Communicating expected renewal and end dates of projects
25. Work closely with the Contechs Finance and Accounts Department in provision of all commercial data
26. Provide instruction to invoice on projects
27. Provide necessary reports, anticipate and forecast trends and patterns within the company and across the market
28. Support Creation and tracking of commercial finances, budgets & financial reports
29. Manage Team Engineering Project Trackers
30. Support the approval and management of Engineering timesheets where required
31. Reviewing Hour Allocation to Jobs
32. Review Contract End and Tracker End dates and Report / Escalate Variances
33. Report non-PO covered Project expense
34. Progress Purchase to Pay Requests (Expenses and Third-Party Purchases)
35. Prioritise and track progress of projects in line with customer expectations, escalating where required
36. Provide resolutions for issues to ensure timely completion of all projects
37. Facilitate regular meetings with Contechs Teams / CoC Leads to ensure all team members are informed and progressing to plan
38. Supporting contractor IT and other issues where required
39. Support the planning and management of programme(s) resources to ensure objectives are met
40. Support the production of sales / engineering documentation for presentations
41. Support all commercials for quoting and report alignment to client rate cards
42. Produce documentation and working guides to support training requirements for staff across operational systems
Skills Required:
43. Articulate effectively at all levels within the business
44. Advanced capability in Microsoft Word/Excel/PowerPoint
45. Ability to work in a methodical manner
