Job Overview
We are seeking a highly organized and proactive Office Administrator to ensure efficient office operations and maintain a structured document control system. This role combines general administrative support with a structured document control function. The ideal candidate will have excellent organizational skills, a strong eye for detail, and a commitment to accuracy—essential for supporting a fast-paced MEP design team and ensuring document integrity across multiple projects.
Key Responsibilities
Office Administration
* Provide day-to-day administrative support to engineering and management teams
* Handle incoming calls, emails, and correspondence with professionalism
* Coordinate meetings and appointments
* Maintain office supplies and ensure operational efficiency
* Ensure accuracy and consistency in internal documentation and communication
Document Control
* Ensure all documents are properly reviewed, approved, and archived
* Monitor and track document submissions, revisions, and deadlines
* Liaise with engineers, clients, and contractors to ensure correct document distribution
* Ensure all document formats, naming conventions, and filing systems meet company standards
Key Skills & Requirements
* Experience in office administration and/or document control
* Strong attention to detail and high level of accuracy in managing files and records
* Excellent organizational and time management skills
* Proficiency in Microsoft Office (Excel, Word, Outlook) and document management tools (not essential as training is provided)
* Clear and professional communication skills, both written and verbal
* Ability to handle confidential information with discretion
* Self-motivated and capable of working independently with minimal supervision
