Job Summary
The Executive Assistant supports the Executive team in a small, tight‑knit group, requiring high professionalism, flexibility and excellent communication skills.
Responsibilities
* Analyse and interpret queries, liaising with senior staff, Board Directors, finance, HR and external NHS organisations.
* Provide administrative services: accurate minute taking, monitoring action plans, ensuring key documents are ready for meetings, diary management, booking meetings, planning events, organising travel and handling written correspondence for Directors and senior managers.
* Prepare papers, presentations, reports and bid submissions.
* Manage complaints escalated through the company’s processes.
* Conduct research and analysis on behalf of Directors and senior managers.
* Lead corporate communications: maintain the company website, produce presentations and promotional materials, uphold brand guidelines, liaise with managers on printed materials and create content for social media and internal newsletters.
* Coordinate cross‑functional projects, support managers in progressing key initiatives within the company’s business plan, and contribute to annual objective reviews.
* Assist with NHS procurement bids and other strategic initiatives.
* Support the implementation and development of projects in collaboration with NHS, government and external organisations.
* Perform basic health and safety tasks for the head office and other specific projects as directed.
* Provide cover and support for colleagues within the Executive Assistant team as required.
* Collaborate with a range of specialisms within the EA role – project coordination, PA to Directors, marketing and communications, health and safety lead, facilities management support.
Qualifications
* Recognised qualification in business studies or significant previous senior EA experience.
Experience & Technical Skills
* Demonstrable senior EA experience in a secure and confidential environment.
* Advanced proficiency with Microsoft Word, Excel, PowerPoint and Outlook.
* Experience managing complex projects and handling difficult situations.
* Marketing, internal communications, tender writing and coordination (desirable).
* Understanding of Data Protection Act principles, GDPR, patient confidentiality and information governance requirements (desirable).
