About the role:
This role is responsible for creating a welcoming environment and managing front desk duties and operations, while also providing support to ensure the smooth day-to-day running of the business. You will assist the administration team with general office tasks as needed.
To be considered for this role, you will need excellent customer service skills, the ability to work effectively within a small team, a good level of IT literacy, strong attention to detail, and an adaptable approach to supporting colleagues when required.
Role and responsibilities:
* Maintaining and improving the Quality Management System (QMS) to ISO 9001 standard
* Managing relationships with customers and external bodies regarding the QMS
* Coaching process owners in good QMS practice to enable them to deliver excellence
* Managing the Quality Team
Key Tasks/Duties of this role:
General receptionist work and administrative support to our office, including, but not limited to:
* Prioritise answering incoming calls promptly and courteously, providing professional support and directing enquiries as appropriate.
* Meet and greet visitors with a professional and welcoming approach.
* Ensure the reception area is maintained in a tidy and presentable condition at all times.
* Support the Companys Executive Assistant with administrative duties, including travel bookings, itineraries and appointment scheduling
* Assist the office administration team with general administrative tasks to include report and presentation preparation, and customer information management.
* Monitor and manage meeting room bookings to ensure smooth scheduling.
* Arrange and order lunches for meetings when required.
* Order and maintain office supplies.
* Assist in documentation reviews as required.
* Manage incoming and outgoing post.
* Scan, file, and manage paperwork efficiently.
* Update the MRP system with client and supplier details.
* Undertake any other reasonable duties as required to support the smooth running of the office.
Essential skills:
* Professional in approach able to represent the Company in front of house duties (telephone manner, dress code, approach, etc)
* Excellent customer service and communication skills
* Well organised & self-motivated with an excellent eye for detail
* Able to multitask with a workload that can fluctuate throughout the day
* Excellent ability in Microsoft Office systems Excel, Word, Outlook, PowerPoint
Desirable Skills
* Proficient use of ERP systems (previous experience of Progress Plus) would be beneficial
* A minimum of 5 x GCSE grades A-C including Maths and English, or equivalent
* Full, clean driving licence is preferred
