Administrator / Receptionist

* Permanent, Full time
* Term time only
* 37 Hours per week
* Salary: Term Time only - Grade 4: 26,403 - £28,142 pro rata (depending on experience)
* To start: Immediately

We are looking for an enthusiastic and well organised Administrative Assistant to join our team. This role is crucial to the smooth and compliant running of all internal and public examinations at The Bulmershe School and offers a varied and rewarding administrative workload.

About the Role

The Administrative Assistant in the Exams Office provides essential support to ensure that all examinations are organised and run precisely according to Joint Council Regulations (JCQ). This busy role demands strong attention to detail and superb organisational skills as you will handle the security of exam materials manage logistical arrangements and liaise with staff students and parents. Beyond the core exams work, you will also contribute to the smooth running of the wider school office, assisting with general administrative tasks and supporting essential school operations. This is a vital position for someone who is dedicated to precision and enjoys working in a fast-paced environment.

Who You Will Work With

You will primarily work closely with our dedicated Exams Manager and our experienced team of invigilators. You will also liaise regularly with the SENDCO and staff in the Oasis department regarding access arrangements, as well as providing administrative support to the wider school office and the Senior Leadership Team.

Key Areas of Responsibility

Examinations Administration

* Ensure all public examinations are organised and run according to Joint Council Regulations (JCQ).Ensure correct entries are made for all public exams according to JCQ deadlines.
* Assist with the timetabling and organisation of all examinations (public and internal) including booking rooms and invigilators.
* Produce seating plans and individual and summary timetables for pupils and staff.
* Be responsible for ensuring all relevant access arrangements are in place in conjunction with the Oasis department.
* Disseminate information about public exams including regulations relating to examinations and coursework to staff pupils and parents.
* Check sort and maintain the security of all examination papers and materials at all times.
* Organise the collection packing and dispatching of examination scripts to Exam Boards.
* Be responsible for checking and distributing examination certificates.
* Manage stocks of examination stationery and order as required.

General School Administration and Support

* Undertake day-to-day administration duties as directed by the line manager.
* Maintain the SIMS database and be responsible for accurate student information.
* Support with emergency and on-day cover, including distributing cover work and updating staff attendance systems.
* Support the teaching and learning of students including communication and record keeping around behaviour management and work experience.
* Support with first aid enquiries.
* Carry out any other duties that reasonably fall within the remit of the post.

Essential Skills and Experience

* GCSE in English and Maths grade 4 or above.
* Experience of working with young people in a learning environment.
* Strong attention to detail and accuracy in administrative tasks.
* Excellent organisational skills with the ability to prioritise own workload and work effectively to competing deadlines.
* Good communication skills both written and verbal with the ability to clarify and explain instructions to others.
* Able to use ICT and administrative systems effectively.
* Ability to work constructively individually and as part of a team.
* Ability to maintain strict confidentiality of information.
