About the Role
GRAHAM are looking for an experienced Site Administrator to join our team as we deliver a £28m upgrade at the National Railway Museum in York. In this fully site based role, you will be providing vital support to the site team and help build strong working relationships across the wider project and division. Start date for the project is 3rd August: We’re recruiting now to secure the right person early, giving you the reassurance of having your next role confirmed and ready to step into.
Our Site Administrators play a key role in keeping operations running smoothly, handling essential day-to-day tasks and providing dedicated administrative support. We’re looking for someone with excellent interpersonal skills, confident communication abilities, and the flexibility to thrive in a fast-paced environment where multitasking is essential.
The Site Administrator will:
1. Provide clerical support to the Project team, including supporting with Contractual correspondence.
2. Assist with the development and maintenance of filing and administrative systems.
3. General management of documents on ViewPoint or similar EDS (Electronic Document Storage)
4. Management and control of all project-related documents, including drawings, specifications, and reports on EDS
5. Prepare and maintain document templates and standards (inc reports).
6. Printing, copying and scanning of documentation (inc handover info)
7. Production and printing of reports and associated information for Meetings.
8. Facilitate meetings (both Internal and External).
9. Management of correspondence – incoming and outgoing (Post)
10. Take and record messages accurately.
11. Generate weekly document trackers to inform team of new / changed documents
12. Assist with compiling Operations & Maintenance / Health and Safety File
13. Assist with collating and presenting BREEAM (Building Research Establishment Environmental Assessment Method) evidence
14. Record Time sheets for weekly paid GRAHAM operatives
Essential
15. Must have solid previous experience in a similar administrative role
16. Strong IT skills, including Microsoft Office suite
17. Experience of Document Management Systems - ideally previous use / knowledge of ViewPoint for Projects or similar EDS platforms
18. Demonstrate ability to work on own initiative
19. Demonstrate strong communication skills
20. An excellent telephone manner, with great interpersonal skills
Desirable
21. Knowledge and/or experience of the Construction Industry
