Job responsibilities
* Greet and receive patients, visitors and other members of staff to the wards in a polite and professional manner and undertake general reception duties.
* Answer the telephone and relay accurate messages as appropriate.
* Maintain effective communications between patients, their relatives and the team within the department.
* Escort patients from reception for admission, explain the room layout and facilities, deliver post and newspapers.
* Liaise with all members of the multidisciplinary team to ensure effective communications are maintained within the department.
* Report complaints or concerns to the nurse in charge/shift leader.
* Assist in the delivery and evaluation of care of patients admitted to the ward in accordance with Spire policies.
* With due regard to risk management policies and procedures, participate in maintaining a safe environment for patients, relatives, carers and staff.
* Ensure that patient notes are up to date and in correct order and are taken to the appropriate place (coders or secretary) when a patient episode is complete.
* Ensure that all filing of results and other information is accurately filed in the patient’s notes.
* Liaise with all relevant departments and the patient to ensure accurate data in the system (admissions, discharge and transfer of patients).
* Assist in orientation of new staff to the ward.
* Assist with the ordering of ward/unit stores and undertake the ordering of all stationery ensuring availability at all times.
* Take and distribute accurate minutes for team meetings in a timely manner.
* Update SAP with any augmented nursing care communicated by the nursing team to ensure transfer and charging details are updated.
* Update SAP with extended length of stay communicated by the nursing team; capture any additional revenue by escalating any additional length of stay as appropriate (e.g., call insurer).
* Book outpatients’ appointments on the system or with the relevant hospital departments and arrange transport.
* Ensure discharge notes are completed by the medical staff and sent to GP’s within 24 hours of discharge and results are filed prior to leaving the ward.
* General ward administration, including keeping the notes trolley(s) in good order, checking all request forms are signed by doctors and ordering porters as requested.
* Provide and receive patient information, ensuring that all patient information is provided, received and recorded in accordance with the Data Protection Act and Spire policies.
Who we’re looking for
* Experience working in a healthcare setting as an administrator.
* Track record of successful delivery in a similar role, in an office and/or customer service environment.
* Understanding of medical terminology.
* Knowledge of the healthcare market.
* Excellent communication skills.
