Job Summary
The Director of Conference Services is responsible for overseeing the planning, coordination, and execution of conferences, meetings, and events across five primary Conference Center locations. Key duties include managing logistics, budgets, vendor relationships, and client expectations, acting as a liaison between clients and various internal departments to ensure exceptional event experiences. Responsibilities also encompass client consultations, space management, staff supervision, and post-event evaluations.
Requirements
* Oversee and manage conference planning staff at multiple locations, including Conference Planners and Set-up Coordinators.
* Visit all sites regularly to ensure client satisfaction and high service standards.
* Maintain strong leadership to motivate staff and achieve teamwork.
* Collaborate with Corporate Services management on client activities and provide utilization and financial reports.
* Ensure facilities meet standards and coordinate upgrades with Property Management.
* Work with training managers for logistics of annual programs.
* Establish positive relationships with clients through effective communication.
* Maintain confidentiality, display good judgment, and demonstrate strong communication skills.
* Coordinate with Multimedia and IT teams for technical needs and provide detailed project cost estimates.
* Adapt to changing priorities and support special projects, including HR-related tasks.
Responsibilities
* Deliver high-quality service, focusing on high-level guests and meetings.
* Coordinate team activities, handle service issues, and resolve customer feedback.
* Assist with onboarding of new team members and facilitate/support events.
* Serve as a point of contact for external vendors and maintain knowledge of audio-visual equipment.
* Work effectively with all vendor groups and internal teams to ensure seamless operations.
