Band 3 Clinical Services Administrator – Swindon

Job Summary
Act as the initial point of contact for stakeholders' access to the service in a busy inpatient mental health ward. Manage accurate records in electronic patient records, support a multidisciplinary team, prioritise workload, and adapt to changing demands.

Main Responsibilities
* Liaise with a wide range of stakeholders including medical staff, multidisciplinary teams, services users, carers, health and social care teams, third sector agencies, and statutory agencies.
* Utilise written and verbal communication skills to interact with internal and external stakeholders, using tact and persuasive skills where necessary.
* Handle telephone and face‑to‑face contacts with distressed service users in a supportive and empathic manner.
* Exercise judgement to resolve non‑clinical patient problems, including diary and appointment conflicts.
* Escalate issues to the Clinical Services Lead Administrator when appropriate.
* Type patient reports, correspondence, and e‑mails; input accurate data into the RIO and Connecting Care systems.
* Order stationery and other necessary items for the team via the procurement system.
* Support induction of new staff members, produce confidential correspondence and reports, and maintain the electronic filing system.
* Take and distribute formal minutes, perform clerical duties such as photocopying and scanning.
* Undertake surveys or audits and provide cover for colleagues as required.
* Prioritise workload according to emerging issues and shifting priorities.
* Assist patients during incidental contact by providing non‑clinical advice and information.
Person Specification
Education and Qualification – Essential
* NVQ Level 3 qualification or relevant experience in administrative systems and office procedures.
* Full clean driving licence.
Education and Qualification – Desirable
* Administration experience in a health/social care setting.
Skills – Essential
* Good IT skills – competent in Word, Excel, Outlook.
* Excellent communication skills, both verbal and written.
* Ability to work without direct supervision; plan and prioritise own workload.
