CRM Developer / Integration Specialist (Ref: 5988)

About the Role

This role will be based in Information Technology Services (ITS), a customer‑focused department servicing the IT needs of Aberystwyth University. You will be required to demonstrate an excellent knowledge of Dynamics 365, Power Apps, Microsoft Fabric, Azure Data Factory, integrations, APIs, Oracle technologies and SQL.

Report to the Head of IT Applications and Development. Responsibilities include development and support for a marketing‑focused Dynamics 365 CRM, management of AU Dynamics 365 environments, Power Platform development (Power Apps Portals, model‑driven/Canvas applications), Microsoft Dataverse, CRM forms, Azure Logic Apps and Power Automate.

The role will also entail managing integrations across university in‑house developed applications including the Admission System (APEX Oracle), Clearing Application (APEX Oracle) and Gecko Event management. Integrations will be between the University’s systems and third‑party software (both hosted on‑premise and cloud based).

In this role, you will line‑manage, support and train the Project Support Officer and a System Analyst/Developer working on the University CRM implementation, integrations and supporting applications.

You will create detailed specifications and, with the support of your team, build development solutions that meet the marketing CRM requirements of the university.


Key Responsibilities

* Liaise with users in Global Marketing and Recruitment (GMSR) to understand their specific requirements and design appropriate CRM and data integration solutions.
* Work within the AU Dynamics 365 environments, solutions, journeys and integrations.
* Train the team to use Power Platform development (Power Apps Portals, model‑driven/Canvas applications), Microsoft Dataverse, Power Automate and SharePoint.
* Coordinate with other system developers to agree data structures and user interfaces.
* Develop, test, document and support form integrations providing controlled data query and data input functionality.
* Perform data integrations with Oracle technologies.
* Develop additional web functionality using Oracle APEX.
* Support data processing functions to maintain accurate and reliable data in the CRM system and facilitate data exchange between the CRM and other associated systems.
* Develop data migration strategies and support the transition to new systems.
* Drive new initiatives and ensure best practice.
* Line‑manage the Project Support Officer and a System Analyst/Developer.
* Define work, set objectives, organise and delegate work to reports according to their skills and abilities.
* Coordinate delivery of own and reports’ work with other teams across the University.
* Ensure all reports participate in the Effective Contribution Scheme (ECS) processes with clear objectives and smart targets.
* Engage reports in planning and delivery of work, ensuring a positive, flexible and productive environment.


Staff Management

* Keep up to date with developments around the University’s core business software to identify potential risks and opportunities related to business practices.
* Foster excellent working relationships with staff in faculties, academic and service departments at all levels.
* Support and contribute to business cases for new digital initiatives for university committees and the Executive team.
* Participate in the development and implementation of annual operational plans for the team.
* Write and deliver presentations, briefings or workshop sessions to staff, students, or external bodies.
* Assist in developing training materials and delivering user training to support these systems.
* Liaise with external suppliers such as Gecko Engage and external consultants.
* Develop wide‑ranging and specialist understanding of relevant theory and practice and maintain it.


Project Delivery

* Ensure projects and reports are delivered in line with Agile methodology, delivering value through close alignment to business goals.
* Ensure effective project management is in place for all initiatives, working with external suppliers, stakeholders, students and staff.
* Ensure all IT application development projects are delivered to the required standards.
* Produce relevant documentation as part of the project lifecycle and handover of systems to production.
* Maintain knowledge of, and implement, sector and industry project management best practice.
* Run procurements and tenders with suppliers, including producing funding applications, tender or specification documents.
* Work collaboratively with external agencies and other HEIs.


Service Provision

* Ensure IT application services are operationally effective, meet KPIs and performance indicators.
* Promote continuous improvement across all IT application services and the development process.
* Foster the highest standards of customer service.
* Maintain the highest standards of security and data protection, keeping up to date with all legislation, regulation and best practice.
* Ensure robust communication and engagement plans for stakeholders and customers.
* Ensure services provide business continuity and can be recovered in the event of a disaster.
* Coordinate with the IT Infrastructure team on delivery of IT applications.
* Ensure compliance with the Welsh Language (Wales) Measure 2011, the University’s Welsh Language Standards, GDPR, the University’s Information Security Policy, the CMA and other relevant legislation.
* Undertake health and safety duties appropriate to the post.
* Commit to the University’s Equal Opportunities and Diversity Policy.

* Carry out any other duties reasonably requested by the Line Manager.


Qualifications

* Degree level qualification in IT, Computer Science or Software Engineering.
* Experience of Dynamics 365 Solution Management and performance tuning in Dynamics 365 implementation.
* Experience of Power Platform development (Power Apps Portals, model‑driven/Canvas applications), Microsoft Dataverse, Power Automate and SharePoint.
* Experience of planning, implementation, development, data migration, data mapping, loading and transformation.
* Experience working with database systems including Oracle and Microsoft.
* Experience in using one or more application development languages including PL/SQL, Perl, PHP, JavaScript or HTML/CSS.
* Work closely and efficiently with team members, other colleagues and third parties.
* Strong organisational, analytical and problem‑solving skills with the ability to prioritise and work under pressure.
* Oral and written Welsh Level A1 or evidence of ongoing commitment to learn Welsh to this level.
* Proven managerial skills with ability to motivate self and others.
* Excellent verbal and written communication and interpersonal skills, demonstrating ability to communicate effectively with staff of varying levels of seniority and with external agencies, suppliers, customers, etc.


Desirable

* ITIL / Agile Certified / Prince2.
* Experience of working with Higher Education Systems.
* Experience of reporting dashboards and Power BI.
* Experience of Source Control tools.
* Experience of using Oracle APEX.
* Knowledge of security technologies and data protection / GDPR.
* Oral and written Welsh Level A2.
