Ambrose Avenue Group Practice is thrilled to announce an excellent opportunity for a medical secretary to join our team on a part or full-time basis. The position consists of between 30-37.5 hours per week spread over five days, although part-time applications will also be considered. As a medical secretary at Ambrose Avenue Group Practice, you will play a vital role in supporting our GPs and enhancing the care experience for our local community.
Ambrose Avenue Group Practice is a friendly, long-established, award-winning, progressive GP practice. We are based over two surgery sites within 10 minutes of each other, serving the population of Stanway and Prettygate in Colchester, Essex. We are a training practice and offer services to a population of over 14,500 patients. The clinical team consists of eight GPs, a GP trainee, four advanced nurse practitioners, three nurses, two healthcare assistants, and various allied health professionals, including a GP assistant, health and wellbeing coach, clinical pharmacist, pharmacy technicians, care coordinator, social prescriber, and care advisor. We hold monthly meetings and training sessions and have a diverse team of clinicians, including first contact physio, pharmacists, ANP/NP, care coordinator, social prescriber, health coach, GP assistant and an award-winning team of mental health workers.
Responsibilities
* Provide an efficient and accurate secretarial service to the practice, GPs, and other healthcare professionals.
* Copy typing, letters, reports, patient referrals, meeting minutes, and memorandums, as well as handling telephone calls.
* Initiate and compose correspondence, both internal and external, in a professional and timely manner.
* Address patient concerns and complaints calmly and professionally.
* Undertake administrative tasks related to patient referrals, ensuring accurate maintenance and monitoring of practice records.
* Assist the practice team with clerical and administrative duties, including reports, process reviews, letter writing, emailing, and scanning as needed.
* Ensure compliance with practice policies, including Equality and Diversity, Information Governance (including Data Protection Legislation), Confidentiality, and Health and Safety.
* Accurately update and monitor patient records and information systems, both manual and computerized.
* Resolve a wide variety of patient queries received via telephone, in person, and in writing.
* Liaise with other healthcare professionals, secretaries, and administration teams to coordinate patient care effectively.
Qualifications
* Audio- and touch‑typing skills.
* Strong administrative experience and good organisational skills.
* Sound knowledge of medical terminology.
* Excellent general IT skills including MS Office and experience of working with a clinical system.
* Experience in read‑coding and workflowing clinical documentation.
* Excellent communication skills.
* Understanding of the need to maintain confidentiality and data security, at all times.
* Ability to multi‑task and to work accurately under pressure.
* Ability to work as part of a team, as well as independently.
