MDT Co‑ordinator

This vacancy is currently only open to Herefordshire and Worcestershire NHS staff (including PCN/GP Practices).
The MDT Co‑ordinator role supports the Trust in meeting cancer targets. It is a temporary 12‑month position covering maternity leave, 30 hours per week over 5 days (Monday‑Friday). The post holder will be trained across all tumour sites to provide coverage for annual leave and sickness, and will work primarily at Worcester Royal Hospital with occasional attendance at Alexandra Hospital.
The successful candidate will preferably have previous NHS experience in a busy team, excellent organisational skills, and the ability to track patients and monitor progress using hospital computerised data and tracking systems. The role is demanding and requires flexibility at times.
Job responsibilities
Key Duties:
Working on own initiative with minimum direct supervision, prepare lists of patients for discussion at MDT meetings using information from pathology search, clinicians, or other MDT members. Competently utilise the Trust databases to collect and enter data in accordance with cancer waiting times targets, COSD and audit datasets. Operate video‑conferencing equipment during MDT meetings.
MDT meeting preparation and follow‑up duties:
Provide administrative support for weekly cancer MDT meetings, taking referrals, producing lists on SCR with relevant clinical data, target dates and OPA dates. Circulate MDT agendas/lists to all members in a timely manner, ensuring encryption for external circulation. Maintain accurate contact lists of core and extended MDT members. Communicate referral cut‑off times for appropriate staff. Collate pathology material with lead pathologist and return appropriately. Upload imaging to PACs within agreed timescales. Request PET/Bone scans, off‑site imaging, histology slides, and imaging reports. Set up MDT room, operating video‑conferencing equipment, escalating any issues. Attend MDTs in scope of role; flexibility required. Live minute taking, prompting for missing data items, ensuring treatment targets are met. Distribute minutes to relevant staff within 24 hours. Follow up on actions and requests, book appointments and confirm in timely manner. Send tertiary alerts within 2 working days of MDT discussion and record accurately on SCR. File MDT proposals and maintain attendance record in SCR.
Data and tracking duties:
Collect cancer waiting times, COSD and audit data, enter onto SCR, correcting data errors promptly for monthly submissions. Track patients through the suspected cancer route, 62‑day screening, and 31‑day treatment pathways, updating SCR immediately. Chase and update TCI and treatment start dates, escalating breaches to Directorate Support Manager and other managers within 24 hours. Complete root cause analysis reports for breached targets. Track and complete records under 31‑day rule for first and subsequent treatments. Establish relationships with tertiary referring/treating centres to ensure data completeness.
Audit data:
Collect mandatory audit data, enter onto SCR, correcting errors monthly. Coordinate with MDT lead and CNSs to validate data, forward missing field reports, and maintain relationships with tertiary centres.
General duties:
Answer telephone queries promptly. Maintain up‑to‑date procedures for MDT running, tracking, and referral. Build knowledge of procedures for other tumour types to provide cover. Assist in training new MDT coordinators. Develop operational policies and data filing systems. Prepare material for MDT events at other hospital sites. Coordinate information for cancer accreditation/quality surveillance visits. Attend annual team training. Participate in cancer strategy roll‑out, trust performance reviews, statutory training, and maintain professional appearance.
Knowledge and Skills

Experience
* Administrative experience within the NHS.
* Experience in taking minutes of meetings.
* Experience of working within a cancer care setting.
* Previous experience in data collection and audit.
Qualifications
* Excellent keyboard skills.
* Good knowledge of Microsoft Office packages including Word, Excel and email.
* GCSE English and Maths at Grade C or above, or equivalent.
* Medical secretary training.
* Knowledge of specialist computer systems e.g. WINPATH, CLIP, OASIS, CRIS, eZ Notes, Somerset Cancer Register (SCR).
