Reporting to the Traffic Office Manager and responsible for the administration of the transport and distribution operations within the VOC. Responsible for leading and motivating the team to create high performance and commitment.



About the role

You’ll be at the heart of our day-to-day staff and duty management, including:


People & HR Administration

Maintaining, allocating and updating annual leave, sick leave and special leave on our HR systems.
Maintaining accurate local personnel records.
Ensuring duty changes, shift amendments and staff updates are communicated to HR for correct salary processing.



Duty Allocation & Daily Operations

Managing duty arrangements, including preparing vehicle and agency signing‑on sheets.
Allocating reserve staff to cover vacant duties.
Working closely with Operational Managers to ensure absences are logged and all duties are covered.



Overtime & Agency Management

Controlling, allocating and inputting overtime.
Liaising daily with Pertemps to source agency drivers, ensuring coverage while adhering to budget requirements.
Monitoring agency hours, planning future usage, and supporting forecasting and special event planning (including Christmas Peak!).



Compliance & Driver Hours Management

Ensuring compliance with Road Transport Directive and EU drivers’ hours regulations.
Managing drivers’ hours data — ensuring vehicle downloads stay within 14‑day thresholds and resolving infringements promptly.
Overseeing the declaration of other work for drivers.



Finance & Planning Responsibilities

Recording weekly finance figures and inputting staff hours via the People System Portal.
Owning the staff and agency planning process, including participating in weekly resourcing meetings.
Managing purchase orders and supporting invoice payment processes.
Working closely with the Planning Manager on duty revisions, ensuring accurate implementation across the business.



About You

Someone who is organised, accurate and confident working with data.
A strong communicator who enjoys working with managers, office teams and external partners.
A solutions-focused approach — you enjoy making sure everything (and everyone!) is where it needs to be.
HR or operational planning experience is beneficial, but not essential if you’re a fast learner with great attention to detail.
