About This Role
Admin Officer – responsible for both front‑of‑house and back‑office administration duties within Woodside Green, a SHARE Primary Academy. Works as part of a team to support the school.

Overall Purpose Of The Role
To deliver a comprehensive, professional and customer‑focused administrative service to the Headteacher/Executive Headteacher and the school, supporting teaching and learning by handling all administrative needs.
Key Outputs
* Maintain confidentiality and comply with statutory and non‑statutory requirements
* Support the Administration Manager to deliver an effective service across the school
* Produce all correspondence and communications to a high standard within deadlines
* Assist the Headteacher/Executive Headteacher with visitor reception and phone calls
* Attend and minute meetings, following up action points within agreed timescales
* Help the Administration Manager to respond promptly and professionally to parent queries and complaints
* Carry out marketing activities in line with the MAT strategy, updating displays and notice boards
* Administer trips and visits, including all EVC responsibilities
* Administer lost property
Personnel Administration
* Assist the Administration Manager with recruitment for posts including Assistant Headteacher and below (draft adverts, compile application packs, liaise with recruitment agents, manage interview schedules, oversee Selection Process Day, coordinate reference requests, manage pre‑employment checks, ensure Safer Recruitment guidelines)
* Calculate salaries for teaching and support staff, issue employment information and conditional offers to payroll
* Ensure DBS checks for all staff and volunteers are carried out
* Organise leaver administration and exit interviews
* Maintain manual staff records and ensure the electronic personnel database is updated and GDPR compliant
* Produce all personnel correspondence including contracts, offer letters, and variations
* Archive payroll files as required and dispose of records securely in line with the Records Retention Schedule
* Deliver the induction programme and monitor probationary periods and reviews
* Perform any other duties commensurate with the role or directed by senior staff, showing flexibility to support the MAT team
Finance Administration
* Oversee purchase order requisitions, financial transaction requests, debt collection (catering) and petty cash handling
Premises Administration
* Administer school site lettings in accordance with the Lettings Policy, using booking system software
* Organise and administer school events, coordinate risk assessments for school‑based activities, liaise with site technicians

Work/Business Contacts
* Internal: All teachers and support staff, including Lunchtime Supervisors, to advise on pupil support
* External: Department for Education, marketing agencies, Local Authority, Payroll provider, Local Government Association, Teacher’s Pensions Agency, West Yorkshire Pensions Agency, ACAS, Access to Work, Occupational Health
ESSENTIAL Criteria
* Good knowledge and use of IT systems (Word, Excel, PowerPoint, Outlook)
* General administrative skills, filing, typing, post distribution; experience in a busy environment meeting tight deadlines
* Ability to comply with strict confidentiality regulations and professional protocols
* Strong organisational skills, workload prioritisation, deadline focus, and working under pressure
* Excellent communication skills, both written and verbal
* GCSE English and Mathematics (Grade C or above)
* Excellent IT skills and commitment to equality and diversity
* Willingness to travel around the MAT area and work flexibly, including occasional evening meetings
* Full current UK/European Driving Licence and access to a motor vehicle for business use
Additional Requirements
Applicants must complete a MAT standard application form, provide evidence of identity and qualifications, and be subject to satisfactory references (including a Headteacher reference for those who have worked in a school). A DBS Enhanced Disclosure is required. Those who may contact younger children must complete a declaration about household members.
