Position Overview Ithaca Energy is accepting applications for the position of Technical Assistant, located in our Aberdeen Office. This role is to perform technical, administrative and general office duties supporting the team. This role is a key member of the team and is expected to perform highly responsible and confidential tasks in supporting the managers and team members in their daily work activities. Responsibilities Proactive and independent work in the administrative area to support the team Responsible for coordination of all meetings and action register. Responsible for communications to department as directed. Responsible for coordination and issuing of weekly and monthly reports. Plan, coordinate and manage all relevant training activities related to the team eg course bookings, liaise with training providers, maintain update files and records. Structure and manage administrative work to promote the efficient operation of the office. Support team with travel and logistic requests as requested. Carry out assigned tasks and activities in compliance with instructions and processes but where some independent judgment is required. Assess and recommend methods for improvement of office/facility procedures and functions. Support the team in managing all the necessary paperwork related to personnel travel and expenses. Additional Duties Focal point for (raising Purchase Requisitions / general assistance) Focal point for Teams site/SharePoint Assist tracking /maintain Teams site Action Tracker/Planner Manage/coordination of Events, workshops, conferences, offsite meetings Collaborate with team members to identify process improvements and contribute to the development of best practices Actively engage in company safety culture – present HSEQ moment (ad hoc) Compile and maintain Out of Office Tracker There is a requirement to work cross functionally and interface with all geographical areas within the Company. Qualifications & Experience Proven competency in a similar role. Understating and familiarity of departmental procedures, relationship between operations and departments, and familiarity with products/services. Demonstrate good logistics and planning ability is necessary. Demonstration of exceptional communication skills to effectively request and provide information, ask questions to clarify instructions, and courtesy and service mindedness. To work and communicate effectively with colleagues and stakeholders. Respecting knowledge, experience and building effective relationships.
