An excellent opportunity has arisen to work as part of a friendly team responsible for the co-ordination, organisation and management of an elective waiting list. You will be required to help maximise capacity and ensure excellent patient care within an exceptionally busy and highly pressurised work environment.

You will need to be meticulously organised, motivated and have the ability to approach daily work in an ever changing and sometimes challenging yet exciting environment


Main duties of the job

To co-ordinate patients into the appropriate theatre by:

* taking into consideration a suitable surgeon, anaesthetist and equipment is available plus ensuring 'special requests' are made
* informing patients of all essential booking information to enable the patient to attend prepared for their admission
* meeting the patients social needs and availability

Scheduling patients involves working with the wider team to balance adherence to national and local wait time standards, clinical priority, and service requirements

Ability to compile well balanced operating lists, taking into account equipment requirements, skills, experience and preferences of the particular operating surgeon, so that theatre utilisation is maximised. There may be a number of complexities to consider when compiling operating lists, so careful analysis of patient data is essential.

Analyse waiting list data in the Referral to Treatment database and Patient Target Lists so that local and national wait time targets are met.

Job responsibilities

* To attend team meetings and communicate effectively daily with all grades of staff to build strong working relationships
* To proactively and efficiently ask and answer patient and staff questions and queries in a timely and professional manner
* Evidence of a good standard of Literacy / English language skills
* Excellent communication and interpersonal skills via telephone, email, face to face, correspondence
* Ability to show empathy, reassurance, negotiation, persuasion, diplomacy, assertiveness, discretion.
* Ability to liaise with other hospital Trusts in the South West eg Yeovil, Exeter, Barnstaple, Dorchester
* Organise and prioritise the workload of self and Waiting List Clerks
* Excellent keyboard skills are needed as a wide range of IT applications is used
* Ability to work under pressure
* Ability to work alone and also with a team
* Confident, friendly and tactful disposition
* Willingness to use technology to improve standards of care and support to our patients
* Ability to juggle tasks as there are constant interruptions.
* Flexible attitude to service provision and enthusiasm for change
* Able to work out of hours when required
* Able to use own initiative


Qualifications

* Good standard of Education up to GCSE or O level (A-C) standard
* Computer/Word processing qualification or ECDL
* NVQ Level 3 in Business Administration or equivalent, or demonstrable relevant experience
* NVQ Customer Care/Service


Experience

* Level of knowledge and understanding of waiting lists, hospital booking processes and medical terminology to be able to work at the required standard.
* Microsoft office applications eg Word and Excel
* Management of waiting lists or similar
* Proven experience of working with elective waiting lists or similar.
