EXECUTIVE ASSISTANT – Maternity Cover (12 months) WHAT ARE WE LOOKING FOR? We have a fantastic opportunity for an Executive Assistant to join our fast-growing M arkets & I nvestor A dvisory practice, which now has over 30 staff in it. This is a 12-month maternity leave cover position, offering a great opportunity to be part of a dynamic and expanding team. The successful candidate will support the Managing Partner as well as three other Partners, whilst also assisting the four main teams within the practice and coordinating administrative tasks across the practice. A true team player, with excellent communication skills, you will ensure that the team is supported across several work streams. You will have previous experience dealing with conflicting priorities, acting as a gatekeeper and able to resolve queries. You will be w orking closely with the team to ensure communication is in place and consistency of support provided across the markets & investor advisory practice and wider company. T he primary responsibilities of this role will be: diary and workload management ; issuing agendas, preparing, and minuting meetings and follow up actions ; supporting the team, ensuring they are prepared for all meetings where required ; organising travel itineraries and booking entertainment arrangements; liaising directly with clients at a senior level; leading on SharePoint management and creating / maintaining distribution lists cross company; updating and maintaining the company CRM (Customer Relationship Management) system (HubSpot) ; managing mail merges to support comms to clients ; occasional research tasks. Additional tasks will include: acting as the first point of contact for visitors; supporting the team with ad-hoc requests; processing and managing expenses ; general office tasks such as printing, scanning, shredding What you will have: previous experience supporting multiple team members ability to organise, prioritise workload and demonstrate adaptability Self-driven and motivated, with an ability to show initiative in all situations and the ability to take responsibility for actions Confidentiality – this role can be party to sensitive information, which is important to both protecting us and our clients The ability to pre-empt the needs and diary requirements of team members to ensure things run smoothly A hands - on approach, flexible attitude, and happy working with the whole team to ensure a consistent approach to ways of working Confidence and ability to work with senior level Partners as well as excellent MS Office skills and written and verbal English language skills.
