Overview
Join the Operations department as an Assistant to the Head of Operations at Sartorius, based in Stonehouse, Gloucestershire. This full‑time, fixed‑term (12 months) position supports a team of eight professionals across a range of administrative, clerical and office duties.
Key Responsibilities
* Front‑line reception duties for the Sperry Way Facility, including telephone call handling, intercom, post, meeting minutes, etc.
* Provide administrative support to the Operations Team: prepare PowerPoint presentations, photocopying, scanning, and general office duties.
* Develop and provide a weekly schedule to senior managers of travel plans and visitor arrangements.
* Support the Head of Operations with diary management, scheduling, prioritising meetings, expense claim submission and other administrative tasks.
* Manage the maintenance schedule, ensuring completion within specified timeframes and liaising with contractors.
* Order company PPE, uniform and specialised clothing, keeping accurate purchase records.
* Liaise with suppliers for indirect orders and process orders using Wescale.
* Book and arrange external training for the team.
* Coordinate company social events (e.g., summer BBQ, Christmas hampers, long service awards).
* Assist the internal audit process and undertake Internal Auditor training.
* Provide branding and marketing support to the site, including Sartorius branding and marketing training.
* Operate within the quality system, assisting in maintaining ISO 9001, ISO 14001, ISO 13485 and regulatory IVD requirements, good documentation practices.
Qualifications & Experience
* Previous experience in a Receptionist, Administrative Assistant, PA/EA or similar role.
* Solid experience in an autonomous role; comfort with operating without daily supervision.
* Effective communication with diverse stakeholders across levels and functions.
* Strong organisational skills, prioritising and multitasking under pressure.
* Proficiency in MS Office (email, calendar, Word/Docs, Excel/Sheets, PowerPoint).
* Professional telephone manner and customer service skills.
* High discretion and ability to handle sensitive confidential information.
* Experience working within ISO 14001, ISO 45001 or ISO 9001 regulatory frameworks is desirable.
* Excellent attention to detail and accuracy.
* Right to work in the UK.
