Overview

The Office and Accounts Administrator of Lewis Construction Building Contractors Wales Ltd plays a crucial role within the construction industry, managing and overseeing all administration aspects of construction projects. This position entails ensuring that administration is executed efficiently, legally, and in compliance with company policies and standards. The Office and Accounts Administrator works closely with all members of the site and office team.

Key Responsibilities

Undertake general administrative and clerical office duties such as receiving visitors and telephone calls, taking and passing on messages, dealing with incoming/outgoing post, electronic and manual filing (where required), archiving, photocopying, arranging meetings, booking meeting rooms, and the issue of stationery and equipment.

Undertake inputting of data, correspondence, and presentations using a range of different computer software packages, in particular the MS Office suite 2.

Ensure that administration is executed efficiently, legally, and in compliance with company policies and standards.

The postholder may have some responsibility for small items of equipment or cash.

Assist in purchasing and processing subcontract and supplier accounts as instructed by the Managing Director, as required.

Provide other services as required, including the receiving and accounting for monies, checking of invoices and accounts, distribution of information, maintenance of stationery supplies, maintenance of central filing systems to include the photocopier and e-mail services.

Assist in the production of payroll input data (Including but not limited to checking timesheets, sickness and holiday return, etc) for transmission to Payroll. All payslips are then printed and passed to Employees.

Assist with Vehicle Fleet Administration and monitoring fuel usage and vehicle tracking.

Undertake the role of Office Fire Marshall and undertake Fire Drills.

Responsible for ensuring data quality and as such the integrity of management information through the proper use and safekeeping of data and record systems both manual and computerized.

Assist in the management of ISO9001 and 14001 and other business accreditations and policies.

Assist in marketing presentations and tender submissions.

Assist with arranging and recording all training required for all members of staff. This includes highlighting when training accreditation expires.

The postholder will not be required to supervise other staff or visit individual sites without the express permission of the Managing Director.

The postholder will be required to work under direct supervision of the Managing Director and support other business functions as and when required.

Any other lesser or comparable duties as required as defined by the Managing Director.

Qualifications and Experience Education and Experience

· A minimum of 5Nr GCSE's or equivalent vocational qualifications.

· 10 years of experience within administration.

· Understanding of construction processes.

Skills and Competencies

· Exceptional attention to detail and organizational skills.

· Excellent communication skills.

· Proficiency in contract management software and Microsoft Office Suite.

· Outstanding communication and interpersonal skills.

· Work closely with all members of the site and office team.

· Ability to work independently and as part of a team.

Working Environment

The Office and Accounts Administrator typically works in an office environment but may also spend time on construction sites. This position may require occasional travel to meet with clients, subcontractors, and suppliers. The role demands a high level of accuracy, attention to detail, and the ability to work under pressure to meet tight deadlines.
