We are now seeking an efficient, motivated and proactive School Academic and Examinations Administrator to join our dynamic team. Working Monday to Friday 8.30am to 5pm.
In this key role, you will support the smooth day-to-day operation of the school and play an important part in creating a well-organised and professional academic environment. You will work closely with the Principal, Director of Studies, Examinations Officer and wider academic team to ensure that systems run efficiently and that every student receives the high standard of care and professionalism that Kings is known for. You will be providing a vital function as the initial point of contact and the primary communication channel between our customers and the school, from post-arrival to the end of a student's course with us.
Main Responsibilities
1. Student Administration and Attendance
* Monitor and record student attendance each day as the first point of contact for attendance matters
* Communicate promptly with students, parents and agents about attendance and punctuality
* Work closely with Admissions and Student Services to manage arrivals and maintain accurate records
* Keep weekly and termly intake lists and class registers up to date
* Support class allocation, timetable adjustments and updates to academic records
2. Examinations Administration
* Support the Exams Officer with the secure receipt, storage and handling of examination materials
* Help create and communicate exam timetables, invigilation schedules and room bookings
* Ensure JCQ regulations and internal procedures are followed throughout exam periods
* Prepare exam rooms, invigilate when required and manage post-exam administration including packaging and dispatching scripts
* Produce course completion certificates and maintain assessment records
* Act as Exams Officer if required, including liaising with inspectors and external partners
3. Academic and General Administration
* Provide comprehensive PA/administrative support to the senior team including diary management, meeting coordination, minute taking and drafting correspondence as required
* Welcome visitors, parents and partners to the school in a professional and friendly manner, arranging refreshments and tours where appropriate
* Manage communication with staff, parents and external partners on behalf of the academic leadership team
* Prepare reports, schedules, handbooks and other documents to support academic planning and school operations
* Provide general administrative support including filing, printing and financial tasks
* Order books, teaching materials and other academic resources
* Oversee office supplies and manage inventory
* Liaise with the Finance team to process payments and invoices for the academic department
* Maintain relationships with universities and help coordinate the annual university fair
* Support the smooth and efficient running of all academic aspects of the student journey

Applicants must be able to demonstrate:
Professional experience
· At least 3 years' experience in a similar role in an administrative role (experience in an educational sector is desirable)
· The ability to work at speed and still maintain accuracy, attention to detail and the level of personal care our customers expect from Kings.
· Proficiency in Microsoft Office Suite and school management software such as iSAMS
Personal attributes
· The ability to convey their genuine enjoyment of meeting and working with people from other countries and an ability to foster and maintain working relationships with people of various cultures
· Excellent communication and organizational skills with an ability to multi-task and a common-sense approach to problem solving.
· The ability to work independently, prioritising and managing various tasks to meet target 24-hour turnaround times for applications.
